Affinity Fragrances Ltd is a leading wholesaler of designer fragrance, cosmetics and haircare based in the United Kingdom. Founded in 2016 the company has grown rapidly, expanding its product range and the fabulous team that support us. As an organisation we want to ensure our customers receive only the best in customer service so are looking for people who are keen to deliver the high standard that we pride ourselves on.
We are in search of a strong Commercial Administrator who is commercially focused to take on variety of tasks across the business.
Main tasks include:
Building relationships with other departments to ensure constant communication and efficiency
Developing a comprehensive understanding of the fragrance supply chain
Be proactive in managing own development - identifying potential areas for improvement and seeking the necessary tools to maximise learning potential
General office administration duties
SALES support
- Sales order processing in a timely fashion ready for dispatch
- Check data accuracy on orders and invoices
- Check profitability on sales orders
- Develop monthly and daily sales reports
- Organise sales orders and communicate effectively with operations team
- Communicate customer feedback on timely and accurate basis.
- Maintain the monthly sales tracker
- Opening new client accounts on the system as necessary
- Sending out invoices to customers
- Basic sales analysis on Excel/Sage
- Dealing with correspondence and phone calls
- Liaising with staff, suppliers, and clients
- Preparation for tenders by using Sage/Excel
Purchasing support
- Assisting the buying team to achieve maximum efficiency.
- PO management from point of raising and sending with terms of conditions, through to delivery of goods.
- Maintaining live purchase order breakdowns through liaising with suppliers.
- Accurately and efficiently pulling data and running various reports to assist with purchasing analysis using Excel.
- Assisting with monitoring shipments and deliveries through daily PO review meeting with Buyer and Junior Buyer
- Sending out all relevant documents to suppliers
- Build relationships with suppliers to ensure a constant flow of communication
- Build an understanding of stock list and offer analysis to assist the team
The ideal person should have
Previous experience in B2B Sales administration role or similar
Good Microsoft Office skills (i.e. proficient in Excel)
Proficient numerical and analytical skills
A fair understanding of the sales cycle
Passionate and highly motivated
Reliable and good eye for detail
Strong communication skills both written and verbal
Ability to work under pressure to multiple deadlines
Great ability to work as part of a fast-paced team
Strong and confident communication skills
Flexible and adaptable approach to work

Salary: £26,000.00-£29,000.00 per year
