Responsibilities
Assists in coordinating functions of the Grounds administrative office including preparing reports and staffing the front office.
- Assists in coordinating functions of the administrative office including preparing reports and staffing the front office. Assists in establishing and implementing office policies and procedures. Serves as department liaison with various offices such as payroll, personnel, and travel. Provide administrative and clerical support to Assistant Directors and Grounds supervisors. Assist employees with payroll/personnel issues and worker compensation injury claims. Help employees interpret various personnel and payroll policies and procedures.
- Prepare and maintain departmental payroll and timekeeping records. Ensures accurate leave balances by auditing timesheets and adjusting OMNI and TCP as necessary. Verify and approve time into OMNI for biweekly payroll for approximately 100 employees. Collect overtime requests, submit them to Director for approval, and maintain overtime records. Keep abreast of university policy changes to personnel, payroll, and travel procedures.
- Receives all incoming calls for work requests from customers, with responsibility for interpreting information and relaying it to the appropriate supervisor. Handle customer inquiries and complaints, exercising decision-making skills to solve customer problems. Track work requests to completion.
- Responsible for gathering and assisting employees with the ordering of uniforms. Orders all office supply and maintain the office supply closet.
- Perform other related duties as required.
Qualifications
High School diploma or equivalency and two years experience or a combination of post-high school education and experience equal to two years.
Knowledge of office practices, procedures, and etiquette.
Ability to maintain accurate records and retrieve files from active or archive sources.
Basic filing practices include numeric and alphabetic systems.
Knowledge of applicable computer applications and basic computer functions.
Ability to perform basic mathematical calculations.
Ability to establish and maintain effective working relationships.
Ability to communicate effectively verbally and in writing.

Anticipated Salary Range
The minimum hiring salary for this position is $31,320.00 and is commensurate with experience and education.
