ADMINISTRATIVE ASSISTANT – EYEWORKS FOR FILM
PERMANENT CONTRACT
PART-TIME HOURS (Up to 25-30 hours a week)

Eyeworks For Film (EWFF) is a leading Special Effects Contact Lens Provider within the TV & Film Industry whose work can be seen in the following Productions: James Bond, Pirates of the Caribbean, Batman, Game of Thrones, Lord Of The Rings, The Witcher (to name a few).
EWFF provides a bespoke 360 service that includes:
- Initial concept design consultation working with Makeup Designers, Producers and Directors, etc. An Initial Fitting Service for Actors (in line with General Optical Council regulations) at multiple locations in London. This includes follow up fittings to ensure actor is comfortable with wearing the lens
- Often provision of prototype or test lenses with further consultation to establish the desired effect and final design sign-off
- Production of the final prosthetic lens/lenses. This can be for a single look for one character, or multiple lenses / designs for a wide range of characters
- Finally, the provision of experienced and qualified optometrists (with professional indemnity insurance) who will work alongside the make-up team, providing the safe insertion, removal and monitoring of contact lenses whilst in situ on set during the tv/film shoot.
We are currently looking for an Administrative Assistant to join our team! This is a great opportunity for an experienced person, perhaps someone who has a keen interest in the film industry, who is mobile in terms of travelling to various locations across London, and who is looking for a flexible working environment.
Role and Responsibilities
- Answering calls, and urgently replying to customer emails and queries
- Diary and Ledger Management – managing the ledger of lens orders, logging arrival dates, liaising with EWFF Directors about progress of orders and any required actions
- Ensuring all staff have contracts issued, signed, returned along with necessary qualifications & stored safely prior to starting work
- Issuing contracts to clients
- Dealing with post, liaising with suppliers and couriers
- Document organisation / updating filing systems
- Professionally cleaning lenses (training provided)
- Arranging staff bags and packs for going on set (training provided)
- Auditing stock at various Lens Fitting Optometrist Sites across London
- Occasional assistance on set
Skills Required
- Previous experience in an administrative role is desired
- Ideally experience in both a customer facing and office-based role
- Someone who is flexible and mobile – e.g. they can move across London from site to site
- Highly organisational individual who can multitask and handle a fast-paced working environment
- Experience working under pressure and able to respond to tight deadlines
- Efficient in responding to customer requests and keeping management updated on progress of requests / orders
- Attention to detail when issuing and collecting staff and client contracts, and when checking incoming lens orders, ensuring all details are correct and all documents signed and stored securely
- Proficient in Microsoft packages such as word and excel

Job Types: Part-time, Permanent
Part-time hours: 25 per week
Salary: Up to £30,000.00 per year
