Administrative Assistant
To provide a quality, comprehensive administrative support to the charity. This job will include being first point of call for the charity and general office duties as detailed below.
· To undertake word processing of correspondence, reports, agendas and minutes. Produce other documents and presentations as required.
· Drafting responses to internal and external enquiries received via email, physical mail, telephone and other communications (e.g., via social media messaging) on behalf of the charity.
· Answering or making phone calls on behalf of the charity.
· Regularly communicating with members to promote the activities of the charity and ensure maximum uptake. Circulate pertinent information to members about services and support locally, providing this information has been approved by a trustee.
· Assist the Administrator with the maintenance of the charities’ records and documents. Electronically filing minutes from trustees meeting and AGM, and other meetings as required. Maintaining an accurate mailing list / database using agreed data integrity process.
· Issuing welcome communications to new members. Identifying new members added to the database. Issuing welcome communication using preferred method of communication indicated, along with the charities current calendar of events.
· Responsible for issuing, Thank you letters to fundraisers and donors, cards to members and volunteers and acknowledgement letters to Funeral Directors.
· In collaboration with the Volunteer Coordinator, assist the Administrator with the collecting and recording of attendance at each activity.
· Assist the Administrator with the production and issue of the charity’s monthly calendar of events through email blast, postal mailing, monthly update of website calendar.
· Set aside one hour each day to create and upload engaging, relevant and approved social media updates in collaboration with the Fundraiser, Volunteer Coordinator and Administrator.
· Assist the trustees responsible for outreach and collaboration with allied local organisations, to develop and maintain a database of those who will distribute our promotional materials.
· Distribute promotional materials to allied organisations identified above.
· To organise and prioritise own workload on a daily basis. To report activities monthly to line manager using a timesheet, and ensure that priority tasks are completed to a deadline.
· To maintain strict confidentiality in all aspects of the work, complying with policies and procedures on the data protection of identifiable personal information.
· The post holder will be expected work flexibly to cross cover for the Administrator and Volunteer Coordinator to cover annual leave / sickness.
· Everyone within DTW has a responsibility for, and is committed to, safeguarding and promoting the welfare of vulnerable adults and for ensuring that they are protected from harm. The post holder will have the responsibility of reporting to our Safeguarding Lead, any vulnerable adult or action about whom they may have concerns.
· Any other duties appropriate to the role.
