Cozen O’Connor has an excellent opportunity for a dynamic part-time Office Assistant/Receptionist in our Charlotte office.
The ideal candidate is an enthusiastic self-starter, who is able to perform extensive multi-tasking under numerous time constraints with exceptional attention to detail, take initiative, think strategically and independently, and interact with professionals at all levels within and outside of the firm. Familiarity with local court processes is a plus. The position requires excellent communication, organizational, and computer skills.
DUTIES AND RESPONSIBILITIES
- Assist attorneys, paralegals, and business professionals with administrative aspects of state court filings including placing informational calls to court clerks and maintaining paper files.
- File documents accurately in accordance with established firm systems.
- Perform data entry/file indexing in detail for offsite storage.
- Download electronic files.
- Assist with boxing closed files for offsite storage.
- Initiate drafts of notice/demand letters and damages summaries.
- Complete forms such as attorney admissions or pro hac vice motions.
- Coordinate mailings and set up outgoing FedEx shipments/outgoing mail.
- Responsible for reception, hospitality, supplies, records, and other administrative duties as directed.
- Reserve conference rooms and videoconference equipment.
- Register office visitors through the building security portal.
- Validate parking and maintain stickers.
- Submit expense reimbursements through Chrome River expenses for attorneys as needed
- Enter attorney time in Intapp as needed
- Answer incoming calls, transfer and/or take messages
- Communicate with the building, e.g. safety protocol, requests for maintenance, and work orders
QUALIFICATIONS AND REQUIREMENTS
- Legal and/or clerical office assistant experience of 1-3 years
- Typing skills of 75+ w.p.m.
- Strong organizational skills
- Highly effective written and verbal communication skills
- Ability to work well with all levels of firm employees, clients, visitors, and vendors
- Attention to detail in all interactions and work product
- Aptitude to learn all firm software applications
- Excellent reading comprehension and proofreading skills
- High school diploma required, college degree preferred
