Location: London Headquarters, UK
Contract: Full-time position from September 2023
Your role @CHANEL :
In this role, you will offer administrative support to four members of the Arts & Culture team (based in London and in Paris). You will also liaise with network of stakeholders based internationally.
What impact you can create @CHANEL :
- Manage directors’ diary in complete coordination with their team, their peers as well as business partners
- Meetings (internal & external)
- Travel: Book hotels, taxis and handle related logistics (including immigration requirements)
- Manage reoccurring and ad hoc tasks (ordering stationary, presents (internal coordination with PR and external orders), Fedex requests, maintain present cupboard (gift wrapping material, cards, etc.), printing
- Contribute to the organization of team offsites and seminars
- Expenses for directors (Concur system)
- Maintain diligent electronic record of receipts, process expenses in a timely manner and according to company policy
- Invoicing: liaising with the Executive Assistant to the Global Head of Arts, Culture and Communications and accounts team on occasions when payments / invoicing must be made for various ongoing projects
- Updating contacts / Christmas / Guest lists throughout the year and maintain records of gifts and greeting cards
- Ad hoc projects, for example liaise with external parties and facilitate internal events or individual visits
