Job Title: Administrative Assistant

Salary: £26,000 to £30,000 (Depending on Experience)

Location : Peterborough, Cambridgeshire

Benefits: 25 days annual leave,

9% bonus

Job Opportunity:

This is an exciting opportunity for the right individual, if you’re looking to work within a busy, fast paced and varied role where you can provide excellent customer service skills.

In this role you will provide confidential and flexible assistance to the Energy & Transportation Global Purchasing Manager and UK-based leadership team. The Purchasing Manager you will primarily assist leads a global team of purchasing professionals managing direct material purchases supporting Caterpillar and Perkins brands.

Job Responsibilities and Duties:

  • Extensive diary management, scheduling meetings and maintaining calendars.

  • Coordinate communications by receiving and passing along e-mails, notices, etc.

  • Compiling of agendas and meeting packs where required to ensure the Purchasing Manager is fully prepped for any meetings.

  • Prepare presentation materials as needed.

  • Assist with organising all UK and overseas travel arrangements.

  • Assist with providing an efficient correspondence via email and phone.

  • Provide efficient cover for the Purchasing Manager when absent from the office & holiday cover for the other PA’s as and when required

  • Manage expenses and expense report processing.

  • Offering a highly confidential, flexible administrative support function.

  • Arrange supplier / business partner visits including lodging, meals, scheduling, meetings, etc.

  • Provide other routine administrative duties as required.

  • Coordinate department vehicle reservations and ensure appropriate arrangements for maintenance bookings are made.

  • Complete monthly audit reporting submissions

Skills and Experience:

Candidates will have gained the following skills and experience through previous roles:

  • High attention to detail with strong time management and organisation skills

  • PA Experience dealing with senior leaders

  • Highly proficient in Microsoft office including Outlook, Word, Excel and PowerPoint

  • Self-motivated with a proactive approach

  • Strong communication skills & administration skills

  • Flexible and adaptable to change

  • Able to work to tight deadlines whilst prioritising workload

  • Able to operate with integrity, maintaining confidentiality at all times

  • Ability to prioritise workload and work to tight deadlines

  • Excellent written and verbal communication

  • Ability to exercise judgement and take proportionate actions where necessary

Candidates may have gained the following skills and experience through previous roles:

  • Strong ability to prepare presentation materials with excellent visual skills and presentations PowerPoint and

  • Experienced in communication with external partners (customers / suppliers)
