Administrative Assistant, London
This full-time role is part of our global support team and requires a high level of coordination between multiple parties in different time zones.
Responsibilities
Supporting the Principal and Management team
· Managing diaries, coordinating external and internal meetings and conference calls across time zones
· Global travel schedule and arrangements (visas, flight bookings, hotels, transportation, etc.)
· Managing and updating contacts data base and other central documents
· Archiving documents and drawings
· Organizing catering, meals, snacks and drinks for external and internal events
· Other tasks assigned by the Principal and the Management team
General administrative activities
· Answering inbound enquiries (phone, email)
· Welcoming guests to the office and ensuring the general upkeep of the office
· Coordinating and managing stationary, IT support, cleaning, suppliers, building and maintenance issues
· Managing petty cash and processing business expenses reports
· HR, Finance, PR and Marketing support tasks as assigned
Qualifications:
· Minimum of 2 years’ experience in a relevant position in the field of architecture or design.
· Proactive, hands-on and able to solve problems under pressure in a fast-paced environment.
· Responsible and flexible on working hours.
· Team player who is also able to work independently with minimal supervision.
· Well organized and able to multi-task, with a high level of attention to detail.
· Excellent written and verbal communication skills in English; Mandarin or German is a plus.
· Able to manage sensitive and confidential information.
· Proficient in all Microsoft programs
The position is based in London.
We are looking for a quick hire and therefore candidates with relevant permit for working in the UK are preferred.
