Job Purpose
Working as part of a small and dynamic marketing team, this role will provide high- quality administrative support for all the department’s operations. This role requires someone with exceptional organisational skills, who is willing to get stuck in and provide essential support for this busy department.
Main Duties
- Provide general administrative support to the Marketing team
- Assist in the preparation of regular reports, including tracking of promotions, press coverage and visitor feedback surveys
- Answer and direct emails, phone calls and social media messages from customers and suppliers on behalf of the team
- Provide administrative support for the Museum Membership programme and answer members queries when required
- Maintain 3rd party web listings
- Assist in the coordination of outreach events
- Print and distribute on-site promotional material
- Maintain department records and digital files to ensure compliance with data protection and records management procedures
- Sort and distribute incoming correspondence and handle charity ticket requests
- Manage current promotional offerings, ensure these remain up-to-date and renew where needed
- Coordinate external filming and photography requests, including drawing up and issuing contracts and collating relevant documentation
- Maintain records of compliments and complaints and coordinate timely and relevant responses in accordance with procedures
- Maintain supply of marketing materials and equipment and re-order as necessary
- Source multiple quotes for Marketing materials to ensure due diligence
- Raise purchase orders as required
- Engage in research on behalf of the department as needed
Other Duties

Knowledge, Skills, Experience and Attributes Required
- Strong organisational and administrative skills and experience
- Well educated with excellent written and verbal English
- Confident and competent IT skills and proven ability to manipulate data and produce reports using both MS Excel and Word
- Excellent attention to detail, as well as good research and problem-solving skills
- Effective time management skills and ability to multi-task and prioritise work
- Customer focussed
Desirable
- Interest or background in the tourism industry and/or marketing
- Working knowledge of social media, Adobe Photoshop and InDesign
