An opportunity has arisen for an experienced Administrator to join our luxury care home, Fernhill House in Worcester.
We would love to hear from experienced Administrators with the skill set to lead, oversee and coordinate the reception team to ensure that all visitors have a high quality, consistent positive experience. You will be responsible for all onboarding checks, employee contracts as well as HR systems, and the processing of payroll on a monthly basis as well as supporting residents and relatives with contractual documentation.
As an administrator you will support the Home Manager and other Heads of Departments to ensure operations run efficiently. This is a busy role that is an integral part of the team and therefore you must be able to manage your time and organise yourself and the administration function very well. You will have strong digital skills, attention to detail and have experience in administration of HR, finance and operational systems such as CoolCare and PCS.
Key responsibilities include:
- Managing the time and rostering system, ensuring the administration of rotas, allocated shifts and reconciliations are carried out on a daily basis to ensure accuracy. Experience in using our pay roll system ‘CoolCare’ is an advantage.
- To manage recruitment systems, shortlist candidates and arrange interviews
- To collate, check and send to the finance team any invoices or payments and assisting with the collection of any debts if required and ensuring effective communication with the finance team.
- To liaise closely with the General Manager to ensure the smooth running of administrative aspects of the home.
- Liaise with residents and their relatives regarding fees, funding applications through local authority and maintaining and maximising positive relationships.
- To lead, manage and supervise all reception staff, ensuring company policies in relation to supervisions and appraisals are followed, to maximise their potential.
- To be responsible for any administration budgets within the home, undertaking budgeting exercises and review of monthly accounts to identify areas of under or over-spend and take appropriate actions to ensure efficiencies whilst maximising quality of service.
- Responsible for ensuring all employee personnel files are up to date and in line with CQC regulations and legislative requirements, whilst always adhering to Company confidentiality and data protection policies.
