Role Overview
We are currently recruiting for 2 x Administrators to join our passionate and driven National Support Team based at our Bury St Edmunds office.
As Team Administrator you will ensure that administrative processes are carried out in an effective and timely manner across the Retail/CPS cleaning division.
Key Responsibilities:
Time & Attendance Monitoring
- Proactively monitoring scheduled shifts as they go live to ensure that staff attend & comply with the book on process
- Escalating absence to the relevant local operational management
- Using available resources to remedy non-attendance
Timegate Management
- Ensuring that all sites have an accurate base rota
General Administrative Duties
- Handling tasks, such as generating reports and presentations, setting up meetings, and communicating agendas and minutes.
- Providing real-time scheduling support by booking appointments and preventing conflicts.
- Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
- Responsible for managing and updating the client's extra works trackers.
- Raising quotes based on agreed rates with our client and sending them to the relevant centre for approval.
- Seeking updates on open tasks from the Operations Team/HD/Account Management team.
- Reporting on KPI’s to account managers and National Support Manager.
- Subcontractor Liaison.
- Be comfortable with liaising and supporting key stakeholders within Atalian Servest.
- Create and continuously improve the processes that support this role.
- Data analysis.
- Assist with general operational recruitment tasks.
- Assist with the security vetting of employees.
- Reporting weekly labour reconciliations from the Timegate reporting suite to the relevant stakeholders.
About You:
- An ability to use Microsoft Office platforms such as Word, Excel and Teams
- An understanding of administrative procedures
- The ability to input data and initiate reports
- Good communication, literacy, and numeracy skills
- Computer Literacy
