Reports to: Dean, College of Education and Behavioral Sciences
Job Status: Exempt
Position Summary:
The successful applicant will be responsible for performing administrative, budgetary and business process functions for COEBS, and working with the Dean to ensure that all necessary processes and tasks are being completed in an orderly and timely manner.
Job Responsibilities:
- Collect Information: locating and collecting pertinent information; retrieving reports and forecasts and budgetary information; determine what information is needed and the best source; maintain and keep accurate student records
- Analyze Data: use data from various sources and perform analyses to identify potential efficiencies (time, money and other resources); know how to identify trends and forecast future trends; must be comfortable with statistics and data analysis; help create a plan of action or strategies for better practices
- Provide Presentations and Reports: create visual depictions of data through graphs and charts and oral presentations; create presentations using MS PowerPoint or other software
- Study existing or proposed administrative organizational structure, policies, and procedures; monitor, communicate, and follow university procedures and policies
- Assist in the preparation and maintenance of the COEBS budget; create, code and approve appropriate invoices, requisitions, expense reports and other accounting documents
- Assist Dean with coordinating and hosting appropriate committee, faculty/ staff, and Advisory Board meetings
- Provide high level of service to visitors, students, faculty, and other stakeholders
- Support Dean and Associate Deans regarding advising, scheduling, and recruiting
- Supervise and manage student workers who support administrative functions of the College
- Serve as liaison with other administrative offices at HU
- Serve as general college/office manager (e.g. managing supplies, information, communication with faculty, students and university administration)
- Assist Assistant Dean with accreditation and certification matters as needed
- All other duties as assigned by the Dean
Qualifications:
- Graduation from college with a degree in business administration, human resources, economics, educational administration, or related field (MBA degree preferred)
- A minimum of four years of experience in administrative analysis, project management, or operations research; or equivalent combination of education and experience
- The requirements listed below are representative of the minimum knowledge, skill, and/ or ability required to successfully handle this position:
- Skills: be detail-oriented and work well under tight deadlines; be self-motivated and analytical thinker, with strong communication skills (including interpersonal, written and oral)
- Knowledge: business operations practices, working knowledge of MS Office Suite (especially Excel and PowerPoint), research practices
- Knowledge of University administrative organization, polices, procedures and practices
- Ability to set priorities and handle multiple tasks
- Self-reliant, decisive, proactive, enthusiastic, and make a positive impression on others
- Work to further the University’s vision as stated in the Ten Pillars
- Must be able to completely affirm, uphold, and live within the Preamble of Houston Baptist University
- Exhibit an active Christian faith with local church membership and involvement
