An exciting opportunity has arisen within our Learning Disability Community Treatment Team based at Greenacres in Ashington. We also have a base in Eddie Ferguson House in Blyth and there will be occasions where you would be required to work to provide essential cover in absence of colleagues however travel and expenses would be given. Applicants should have previous secretarial or office experience which is essential due to the demands of the role and in particular minute taking experience. Training will be given, and mentorship will be aligned to successful candidates from the onset by the Administration Team Lead. Candidates must be able to demonstrate proven experience in the following skills that are required for this post: Experience in a customer services / patient / service user focused environment Diary management experience and organisational skills A good working knowledge of Microsoft word / excel/ office packages A good working knowledge of the RIO and Swift patient information systems (not essential as training will be given to those who have not worked on these systems before) Ability to be self-directed, motivated and be able to contribute positively within a team Experience in managing and maintaining office systems desirable A good knowledge of Microsoft packages and typing qualifications are essential for this role. Duties include: Taking/making telephone calls Typing reports and letters Working out of a shared inbox/work tray Taking notes to various meetings and following up on actions Updating patient information systems Maintaining diaries Arranging meetings Ordering supplies Reception duty cover as and when Supporting the clinical team and admin colleagues under the direction of the Administration Team Lead Other duties as and when required Secretarial experience working within a team Excellent communication and interpersonal skills You should currently hold the required level of qualifications, as outlined in the Essential Criteria or working towards this with equivalent experience Excellent verbal and written communication skills The post holder must be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role Experience in using stock ordering and petty cash systems desirable however training will be given This is a permanent post working 30 hours per week over five days to meet needs of the role within the service, hours are 9am – 3pm with some flexibility that can be discussed with Administration Lead and Administration Manager, however the need to cover this role over five days is essential.
