OFFICE Administrator
Main purpose of job:
To support the Lettings process within the Professional, Private and Student lettings market. Jobs will involve helping other members of the staff in Accounts, Repairs, Marketing, and the owners Maryvonne and William Barron.
Your duties will include:
1. This will include but not be exclusively:
a. Answering telephone and helping with general enquiries,
b. Discussing prospective tenants’ requirements and matching them to properties,
c. Making appointments for viewing properties,
d. Discussing letting arrangements with the tenants,
e. Keeping accurate statistics,
f. Preparing the daily diary and keys for all staff members
2. Helping check that the details for all properties are up to date on the LetMC software, on the Blue i website, on Rightmove and on “On the Market”
3. Helping ensure that Marketing has the correct information for all the properties to update the website and the shop window.
4. Preparing the paperwork for the various letting processes:
a. Appointments for viewings of properties,
b. Helping with the planning of the Periodic Inspections.
c. Helping with the Check-In and Check-Out inspection paperwork.
d. Assisting with the Inventories.
5. Reporting on issues, which arise regarding tenancies, repairs, payments, changes in tenants’ personal or financial situation, landlord’s involvement.
6. Liaising with other members of the staff to ensure the smooth running of the office and company.
Additional administrative duties will include:
1. Helping with the planning and preparing for Student Property inspections at Christmas and Easter, at end of contract Check-outs and beginning of contract Inventories with The Inventory Hive
2. The Inventory Hive or other specified software.
3. Helping with the planning and preparing for Professional Property inspections at the prescribed intervals – normally 3 and 6 monthly - end of contract Check-outs and beginning of contract Inventories with The Inventory Hive or other specified software.
4. Performing other administration duties, on an “as needed basis”.
Required criteria.
Description
1 - Good behaviour, a pleasant polite manner with good interpersonal skills and humour to deal with landlords, tenants, contractors and fellow members of staff.
2 - A flexible approach to working hours, holidays and working the odd weekend.
3 - A willingness to go the extra mile, have a “can do” approach.
4 - Clean driving licence, an advantage.
5 - A pragmatic approach to life with an ability and willingness to learn and work hard.
7 - Good knowledge of Microsoft Office, the internet and IT systems in general.
Job Type: Full-time
Salary: From £10.42 per hour
