Job description

This international media company is currently looking for a motivated and highly organised individual to join their team, based in Victoria, London. The company has been at the forefront of international publishing for over 50 years and with a media and events portfolio, and serves four continents with offices around the world.

This role is at the hub of the business and so you will need to demonstrate the ability to multi-task and provide support to various teams. We provide full training and this will give you an all-round understanding of the company and its products. Our ideal candidate will have good communication and IT skills along with organisational and problem solving abilities. Punctuality is important and so is attention to detail.

The position is, ideally, full time Monday to Friday from 9 to 5:30 and office based, however, we can consider part-time.

Initial Responsibilities:

  • Answering, screening and forwarding incoming phone calls
  • Receive, sort and distribute mail/deliveries, sending post and couriers.
  • Receiving visitors by greeting, welcoming, directing and announcing them appropriately.
  • Perform other clerical duties such as filing, photocopying, scanning and transcribing.
  • Offices facilities management including ensuring office is tidy and presentable with all necessary stationery, grocery and office supplies.
  • OrgAanising staff events.
  • Update calendars and schedule meetings.
  • Using our systems to create various documents.
  • Arrange travel, accommodations and visas, along with administrating travel insurance.
  • End to end process of trip expenses.
  • Monitoring email inboxes and responding to queries in a timely manner.
  • Assisting with the recruitment process: setting up interviews and testing candidates.
  • Assisting the production and data departments.

Requirements:

  • Proficiency in Microsoft Office
  • An A-level, or equivalent in English
  • Solid written and verbal communication skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Professional attitude and appearance, excellent customer service
  • A flexible and can-do attitude
