Admin and Engagement Professional

(Part-Time or Part-time freelance)

Purpose of the Role:

To provide administrative support with the everyday running, coordination and administration of our organisation and our portfolio of events, programmes and offerings.

Location: Isle of Bute, Scotland or Frome/Bath, England - preferred but not essential.

Fee: £28,800 pro rata (start on a free-lance part-time basis)

We offer a range of workshops, events and retreats, both online and in person. The in person events take place on the Isle of Bute or at our clients offices or other venues.

Role Profile

  • General administration.

You will act as the first point of contact by telephone and email. Your role will include responding to questions and enquiries in a professional manner and deferring to other team members including the Founder, Finance, Head of Programmes and CCO wherever necessary. While we are aware of the limitations of this part-time role - you have an appetite to ‘lead’ the admin of the organisation within those constraints and don`t shy away from reminding colleagues of deadlines or pointing out better ways of doing admin processes.

Your role will also include other administrative tasks such as booking venues, hotels, travel and guest facilitators, collating and managing data in spreadsheets and project management software.

  • Programmes administration and accounts management

Part of your role will be to work closely with our Head of Programmes and BD functions in the process of bringing in and onboarding individuals and organisations into our programmes and keeping in touch post programme. You will manage the relationship with clients throughout their customer journey sending out a schedule of communications and providing clarity along the way.

Further administrative tasks include managing our impact data and CRM systems. Collecting client feedback and ongoingly adding, removing and updating contacts and the client list.

  • Scheduling and management

Your role will include scheduling internal and client meetings as well as our programmes. You will liaise with the parties involved and schedule meetings and events using Google Calendar, Zoom and Trello our project management software.

Your role may involve taking on other elements of event coordination and management. The extent of this will depend on your skills and experience and there is the opportunity for the successful candidate to grow in terms of responsibilities as our business grows. You know your way around the apps above (or similar platforms) and are confident and experienced enough to troubleshoot and problem solve around basic technical issues.

Skillset

We would like you to be all or most of the following:

  • A good communicator, upbeat and engaging.
  • Experienced in customer relations.
  • Friendly, professional and clear on the phone and by email.
  • Able to handle occasional pressure for example fluctuations in workload before an event
  • Able to work swiftly but accurately.
  • Learns and represents our values and ethos.
  • Very organised, thorough and with attention to detail.
  • Ideally, but not necessarily previous knowledge of CRM systems and how to get the best out of them.
  • Essential: fluent in systems including Excel, Slack, Google, Trello, Active Campaigns and Zoom.
  • Essential: confident and comfortable in virtual working
  • Project Management Skills would be a strong bonus

Potential ad-ons to role depending on your skills and emerging needs in a growing organisation: Support with LinkedIn based lead generation, social media management, managing Eventbrite and other events platforms, breakout room and support with Zoom based trainings/events.

Salary and Benefits:

This role is initially part time @ 1 - 2.5 days per week (ideally spread out over 4 or 5 days) to increase as the business grows. It is a flexible role and we are open to discussing regular working hours to suit you.

Salary £28,800 pro rata
