Office Assistant Job Description

An opportunity to join our small interior design business ( Stellar Interiors) and newly formed furniture business ( Stellar &Co) . Tasks would be varied, the aim is to support the smooth daily running of the businesses and to help put in place processes and grow both the interiors business and furniture aspect. Responsibilities would include office administration, order processing, liaising with suppliers, stock management, packing and dispatching of orders, communicating with customers and suppliers by e-mail and phone, uploading social media and managing the website, and on an add hoc basis onsite client project assistance. Job Type:

  • Part time. Hourly rate.

Salary:

  • £15 per hour, Initially 15 hours per week. Flexible working days dependant on level of business – increased hours will be likely dependant on the projects. ( Learning/trade/training events are excluded from pay although will be paid travel and food expenses)

Schedule and location :

  • Day- Monday to Friday working hours 9-4pm (occasionally Saturday and evenings for installation / sales admin) Flexible
  • Office location – High Street Hampton Wick

Responsibilities:

  • General administration duties such as data entry, posting, manning the office and calls , preparing expenses, office documentation and day to day running of the office (tidy, stationary, telephony, filing )
  • Accounts and Purchase Assistance (Quoting, invoicing, expenses , raising Purchase orders , order and purchase confirmation and follow up , updating spreadsheets and systems , updating stock and sales etc.)
  • Customer Service (Inbound and outbound enquiries via telephone, email and other messaging applications)
  • Design Research ; ordering , collating preparation of client samples
  • Product Research
  • Prepare presentations and slides
  • Stock and Logistics - Accurately process stock quickly which includes locating, packing and promptly posting. Tracking orders and deliveries both from a sales and purchase aspect
  • Assist with events, installations and deliveries to clients and project sites
  • Co-ordinating mailings / shipments (digital and physical)
  • Website management and social media - Updating social media and websites with content (collating content )
  • Assist the team and Directors with ad-hoc and varied tasks as required by the business and any projects.
  • Assist in photo shoots and events - planning and running .

Competencies / Capabilities

  • Essential to have a positive , approachable nature and friendly customer service manner and ‘can do’ attitude.
  • Strong communication skills, both written and verbal.
  • Numerate – able to use excel.
  • Excellent organisation and time management skills
  • Attention to detail (administration , accounts , despatch, design )
  • Ability to manage and prioritise workload
  • Resilient with an ability to work under pressure and to tight deadlines
  • Self motivated and the ability to use own initiative when required

Education / Experience

  • Excellent spoken and written English
  • Computer Literate – able to use
  • Microsoft excel and spreadsheets
  • Microsoft word to create professional documents
  • PowerPoint – to create professional presentations
  • Able to use Instagram / other social media tools
  • Uploading web content and manage a website
  • Able to use Shopify
  • Able to use QuickBooks / accounting system
  • Design tools e.g. Sketch Up
  • Experience working in a small office environment and preferable design but not essential
  • Drivers licence – able to drive

Job Type: Part-time
Part-time hours: 15 per week
