Job description

We have an opportunity available for an Admin Assistant to join our Gallery Services team based out of our distribution center in Erdington, Birmingham. Joining us on a full time, permanent basis, working 37.5 hours per week Monday to Sunday, 5 days out of 7. You will receive a salary of £21,000 per annum plus bonus.

As our Admin Assistant, you will provide support to our Gallery Services and Halcyon Operations with detailed ongoing tasks, monitoring stock movements and allocation of group stock to Castle Fine Art.

Please be aware this is a Monday to Sunday role, working 5 days out of 7. Weekend and Bank Holiday working will be expected in this role, although this won't be every weekend and every bank holiday.

Key responsibilities as our Admin Assistant:

Gallery Services:

  • Allocation of group stock against stock orders required via supporting systems
  • Liaise with stock team for stock schedule fulfilment from suppliers.
  • Reports required post launches and subsequent tasks
  • Arranging video appointments with galleries and art to support for team

Halcyon Operation:

  • Continually monitoring and recording of stock movements
  • Liaise with colleagues and sales teams to ensure they have required information for appointments
  • Ensure post sale documentation is provided in a timely manner
  • Supporting our senior management team with enquiries
  • Keeping documents and information accurate and filed for use

Skills and experience required to become our Admin Assistant:

  • Attention to detail and through in approach.
  • Organised and the ability to prioritise effectively.
  • Excellent communication skills, written and verbal
  • IT skills essential
  • Adaptable working
  • Good standard of written English
  • Enthusiastic and hard working
  • Good common sense
