About the role


The Accounts Payable & Payroll Assistant will have responsibility for processing all payroll activities, invoices and issuing payments in an efficient and timely manner. You will be part of a small, collaborative team who manage the finance function for our staff based in the UK. This role is suited to someone who enjoys a fast paced and varied role, including lots of interaction with staff across the business. You’ll support the Accounts Payable Manager to ensure all requirements of the role are followed. You must be a good communicator, adaptable and have a proactive approach to work.

What we are looking for


Our ideal candidate will have:


  • Demonstrable Payroll or Finance experience.
  • Proficiency in the use of Microsoft Office (especially Excel).
  • Excellent attention to detail and commitment to accuracy, while working at pace.
  • Capable of prioritising multiple tasks and managing workloads within tight deadlines.
  • Excellent analytical and problem-solving skills.
  • Possess a “right first time” attitude.
  • Excellent communication and interpersonal skills with the ability to communicate effectively at all levels.
  • A proactive approach, with the confidence to hit the ground running.
  • Ability to work well within a team but also take initiative when required.

Key responsibilities


Finance


  • Processing of supplier invoices through Microsoft BC.
  • Monitoring mailbox and responding to internal/external queries.
  • Processing monthly payment runs.
  • Support with Belgian payroll as required.
  • Staff expenses processing.
  • New supplier setup.
  • Balance sheet reconciliations for company credit cards and Precision pay accounts.
  • AP forecast and payments figures for daily cash reporting.
  • Assisting with audit queries where required.
  • Direct debit reconciliations.
  • Processing and raising manual payments through Barclays banking.
  • Barclaycard processing ownership - resolving queries and other related requests.

Payroll


  • Responsible for the administration and management of the monthly payroll process, and any related processes that may arise in the monthly cycle.
  • Ensure employees of the company are paid the right amount and on time.
  • Processing holiday, sick and maternity pay.
  • Answering employee questions and complaints about payroll.
  • Maintaining compliant policies and procedures.
  • Working closely with the payroll provider.
  • Undertake the annual end of year payroll processes; incl. P11Ds.
  • Process all statutory payments in line with HMRC guidelines.
  • Distribute P45s, P60s where applicable.
