Description:

Reporting to the Site Controller or designate, the Payroll/Accounts Payable Specialist is responsible for processing vendor invoices and employee expense reports, including coding, obtaining proper authorization for payment, and verifying that the goods/services were properly received. This position is also responsible for processing semi-monthly payroll for site employees. The Payroll/Accounts Payable Specialist will foster a health and safety culture of Zero Harm while ensuring compliance with provincial and federal regulations.

Key Job Functions:

  • Process invoices to avoid late payment charges and provide updated and timely financial information to the Site Controller or designate.
  • Process employee's expenses, credit card reconciliation and payments for the site in accordance with Policy.
  • Analyzes site invoices, prepares coding and account distributions for approval and payment.
  • Investigates stale-dated cheques for cancellation or reissue.
  • Reconciles vendor statements to ensure accuracy.
  • Accurately prepares Journal Entries with supporting documentation for approval.
  • Monitors account payable/payroll email account, handling inquiries and distributing invoices to appropriate departments for processing. Secondary monitor for accounts receivable, administration, and payroll accounts.
  • Reviews timesheets for accuracy and approval and processes semi-monthly payroll for the site employees. Calculates overtime and withholdings in accordance with individual employment contracts. Codes wages and benefits to proper jobs and accounts.
  • Prepares and verifies earnings statements for employees, indicating gross and net salaries and deductions such as taxes, union dues, garnishments and insurance plans.
  • Processes new hires, terminations and adjustments.
  • Prepares regular payroll account reconciliations.
  • Reviews assessment of edits to control payroll and benefits information accuracy prior to finalizing and issuing pay within established deadlines and schedules.
  • Reviews of time and attendance information as they relate to pay.
  • Prepares T4 statements and other governmental payroll remittances and records of employment.
  • Maintain files: timesheet folders and employee files.
  • Assists with year-end audit working papers preparation and samples.
  • Communicates professionally and tactfully to payroll and account payable inquiries.
  • Upholds and follows safety policies, procedures, regulations, hazard identification, and promotes compliance and safety awareness through day-to-day attitudes and actions.

  • Maintains compliance and enforces adherence to legal guidelines and in-house policies, legal and business ethics, privacy, safety, environmental and sustainability policies, the Mines Act, Provincial and Federal laws, legislation, and regulations pertaining to the mining industry.
  • Performs other related duties as assigned.

Working Conditions:

  • Ability to sit at a desk for long periods of time, performing repetitive tasks using office equipment.

Required Education/Professional Qualifications:

  • High School Diploma or GED.
  • 1-3 years’ work experience in Accounts Payable or Payroll.
  • Working knowledge and experience processing Accounts Payable, using a Purchase Order system, and processing payroll.
  • Intermediate level of knowledge of MS Office Suite.

Preferred:

  • Post-secondary accounting certification or diploma.
  • Payroll Compliance Practitioner Certified Canada Payroll Association Certification Level 1 Accounting/Bookkeeping Courses.
  • Work experience with computerized payroll and accounts payable systems.
  • Valid Class 5 BC driver's licence or equivalent.

An equivalent combination of education, skills and experience may be considered.
