We have an exciting opportunity for an enthusiastic Finance Assistant to join the founding location of the 67 Pall Mall Members’ Club, located in the heart of London’s St. James’s.


67 Pall Mall is a Private Members’ Club, founded by wine lovers, for wine lovers, and is home to the finest wine list in the world.

DUTIES AND RESPONSIBILITIES


Responsible for the day to day maintenance of supplier payments and control expenses by receiving, processing, verifying, and reconciling all supplier invoices and statements across several companies.


Technical

  • Ensure the accurate posting of invoices to expenses accounts and cost centres for all entities.
  • Ensure suppliers are paid in a timely manner according to the Club’s policies and procedures and payment run dates.
  • Ensure that all supplier invoices received are matched with a PO, if not then investigation into why not.
  • Monitoring discount opportunities from suppliers via ‘early payment dates’
  • Participate in the month end process to ensure that all supplier invoices are received and posted where possible. Where an invoice is not received then ensure a PO is accrued to ensure the cost in the captured in the appropriate months P&L expenses
  • Reconcile supplier statements monthly ensuring all invoices listed are accounted for (Paid/posted or in query) request copies of any not accounted for
  • Aged creditors analysis
  • Take part in weekly cash flow meetings and monthly meetings to review the aged debt report with the Head of Finance
  • Support the rest of the team in driving process and change to improve the department’s efficiencies.
  • Supporting the Head of Finance with a new purchase ordering system implementation.
  • Updating job knowledge by participating in educational/networking opportunities
  • Other ad-hoc tasks


Communication


  • Communicate relevant information to the department and ensure that the Group Finance Director and Head of Finance are kept well informed of any problems/queries that have arisen
  • Report any problems/complaints to the Finance Director
  • Attend Departmental meetings as required
  • Liaise with other Departments to ensure good communication and offer support



QUALIFICATIONS, SKILLS & EXPERIENCE


Essential


  • High levels of computer literacy including Excel
  • Previous experience in a similar role in a busy high-end environment
  • Accounting qualification (or working towards) is desirable
  • Knowledge of systems Jonas, Xero, Yooz is preferred but not essential
  • Strong attention to detail
  • Passion and understanding for hospitality
  • Exceptional communication skills (verbal, listening, writing)
  • Able to work alone and within a team
  • Pro-active and reliable
  • Team player with self-motivational skills
  • Strong customer service skills
  • Fluent in English
