Summary

The Accounting Clerk is responsible for performing accounting tasks such as accounts payable, accounts receivable, tracking incoming and outgoing grant funds, providing accounting support for other departments, and supporting the budget and audit processes by performing the following duties.

Essential Duties

  • Ensures compliance with federal and state reporting requirements.
  • Sets up and maintains detailed vendor accounts in the organization’s accounting system and ensures vendor compliance with applicable regulatory requirements.
  • Establishes and maintains cooperative and productive working relationships with external and internal customers.

Job Duties

  • Ensures all cash disbursement requests are:
    • Initiated accurately and in a timely manner to meet business needs and utilize discount opportunities when possible.
    • Accurately reflected in the organization’s accounting software in accordance with established policies/procedures and are accurately coded to the proper general ledger account.
    • Uploaded into the bank website for executive review in accordance with established policies/procedures.
  • Researches vendor payment disputes through reconciliation as well as contract, invoice, and/or payment review procedures.
  • Ensures all cash receipts are deposited in a timely manner in accordance with established policies/procedures and are accurately coded to the proper general ledger account.
  • Ensures timely invoicing procedures are executed for collection of funds from community partners.
  • Understands general ledger chart of accounts and assigns proper GL codes to transactions.
  • Processes monthly corporate credit card substantiation reports and ensures accurate expense coding and receipts are collected.
  • Supports company grant initiatives including grant revenue tracking and expenditure tracking and maintains non-profit grants and programs in accounting software.
  • Provides accounting support for other departments, managers, and supervisors.
  • Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and works cooperatively and jointly to provide quality seamless customer service.

Essential Department & Organizational Functions

  • Works to cultivate and develop inclusive and equitable services, and working relationships with diverse groups of employees, community partners, and community members.
  • Participates in the preparation and submission of regulatory and contract required deliverables.
  • Works closely with other YCCO departments, including Health Plan Operations and Compliance to assist with audits; including the External Quality Review (EQR), as needed.
  • Adheres to established internal controls.
  • Meets deadlines for weekly, monthly, month-end reporting, and year end reporting.
  • Meets deadlines for all cash disbursements and receipts in accordance with established policies and procedures.
  • Demonstrates initiative and results orientation.
  • Protects confidentiality of sensitive financial information obtained in the course of performing primary responsibilities.
  • Proposes and implements process improvements.
  • Meets deadlines for completion of assigned responsibilities and projects.
  • Maintains agreed upon work schedule with punctual, regular, and predictable attendance.
  • Demonstrates cooperation and teamwork using a professional and respectful demeanor.
  • Provides cross-training on specific job responsibilities.
  • Meets identified goals that contribute to departmental goals.
  • Works collaboratively in a team and matrixed (cross-department) environment with a spirit of cooperation.

Knowledge, Skills, & Abilities

  • Clear understanding of basic accounting procedures.
  • Proven ability to accurately process numerous invoices each week and ensure all information is accurately updated within accounting systems and online banking.
  • Ability to work independently and can be depended on to complete tasks under minimal supervision.
  • Strong analytical skills and attention to detail.
  • Strong interpersonal skills.
  • Ability to quickly learn the organization’s accounting software.
  • Ability to research, problem solve, and reconcile accounts.
  • Excellent customer service skills.

Education & Experience

Required:

  • Minimum two (2) years’ direct relevant work experience.

OR:

  • Any combination of education and experience that would qualify candidate for the position.

Preferred:

  • Two (2) years of college-level education in accounting or finance.
  • Healthcare experience.
