The Accounting Associate I position is responsible for procurement, accounts payable and records retention functions for the Procurement and Contract Services Unit of the Police Financial Services Division. This non-exempt position is primarily responsible for the daily processing and recording of departmental purchase request forms, processing payment of a large volume of vendor invoices, purchasing small dollar goods and services, executing purchase orders, maintaining a system for the retention of accurate records and providing general customer service to City staff, vendors and citizens.

$20.00 – $22.00 per hour

Preferred Qualifications
Preferred Experience:
- Experience processing large volumes of numerical accounting transactions.
- Experience with internal control systems.
- Experience with credit card reconciliation.
- Experience with automated financial systems.
- Experience maintaining a records retention program.
- Experience communicating (both written and verbally) with all levels of staff, including executives.
- Experience gathering vendor quotes for goods and services.
- Basic proficiency with Microsoft Office Suite (Word, Excel and Outlook).

Duties, Functions and Responsibilities
Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
- Prepares and reviews payments, cash receipts, billing or other accounting transactions by verifying documentation and accurately completing transactions.
- Prepares asset, liability, and capital account entries by compiling and analyzing account information.
- Researches and resolves routine billing, invoicing, financial inquiries, customer and vendor account information.
- Processes travel documentation and monitors credit card activity and supplemental documentation to ensure compliance with established policies, procedures and internal controls.
- Maintains information and reviews financial transactions by creating and/or monitoring electronic files and/or accounting documents.
- Reconciles accounts, identifies and prepares corrections by collecting and analyzing account information and analyzing accounting options.
- Responds to routine inquiries requiring a general understanding of financial systems and transactions.
- Assists customers by providing requested financial information and guidance with automated or manual systems.
- Maintains accounting controls and financial security by following policies and procedures and internal controls.
