SUMMARY OF DUTIES AND RESPONSIBILITIES:


The Development and Events Coordinator is responsible for our donor events, volunteer and corporate relations, and the in-kind giving program with the following core responsibilities:


  • Coordinate and execute all donor events (one gala and four smaller cultivation / stewardship events) with guidance and support from Senior Director of Development and Associate Director of Development Communications.
  • Create and manage meaningful relationships with corporations, organizations, individuals, communities of faith, and school groups by following and implementing the donor cycle (identify, qualify, cultivate, solicit, and steward).
  • Oversee the in-kind donations program by assessing and evaluating the acquisition and distribution of donated goods. This includes the successful execution of the annual Holiday Gift Drive.
  • Engage with corporations by organizing four corporate volunteer events (one per quarter) and ensuring corporate underwriting through each group or already established corporate support by working in partnership with the development team, specifically the Senior Grants Manager.
  • Assist Associate Director of Development with the creation and implementation of annual fund campaign activities.

PRIMARY DUTIES AND RESPONSIBILITIES:


Events and Communications Support

  • Plan and execute the annual fundraiser in partnership with Development staff and Board of Directors. This includes managing budget, vendors, sponsors, attendee experience, volunteers, reports, and outcomes. Anticipated revenue of $250,000.
  • Support the Associate Development Director with sponsorship procurement and tracking benefits. Ensure sponsorship follow-up and tracking with relationship holder.
  • Coordinate four quarterly ECS donor cultivation events (i.e., House Parties, Tours, Strategy Presentations, Meet and Greets, CHEFS Cooking event).
  • Point of contact for events; effectively communicates details in advance to all involved and summarize outcomes with thoughtful analysis and recommendations.
  • Plan yearly calendar of events with clear deliverable goals and achievements documented.
  • Implement industry best practices for recruiting event committees, teams, sponsors, and individuals to grow our constituent base.
  • Ensure all events achieve/exceed revenue goal.
  • Ensure relationship cultivation strategies are implemented for all event constituents.
  • Serve as the staff manager on event days to provide an excellent experience for all participants.
  • Provide all event constituents at any development activity with a meaningful experience from the time they arrive to when they leave the event.
  • Responsible for production of all event materials, collateral, signage, and outreach in support of event goals are on brand, message, time, and strategy (materials made in partnership with a contract graphic designer).
  • Follow and actively engage in conversations on homelessness, housing, and philanthropy trends to share with the ECS online community.
  • Supports outward facing staff and ensure they are using up to date materials including images, fonts, messaging, and signage.

Volunteer and Corporate Relations


  • Create and implement a minimum of four corporate volunteer experiences annually.
  • Maintain ongoing communications with corporate donors (managing a corporate prospect and corporate donor list of 25-50).
  • Develop and implement recruitment strategies which will attract corporate groups focusing on current corporate donors and prospects in coordination with the Sr. Grants Manager.
  • Oversee the organizations volunteer program.
  • Manage the Volunteer Management Database and quarterly report on data tracking systems. Record and report all volunteer time and keep accurate records of service time.
  • Input new volunteer contact information into Raisers Edge.
  • Recognize volunteers and their service through an appreciation event and communications.

In-Kind Donation Program


  • Solicit and manage in-kind contributions from a broad community of new and existing corporate and individual supporters, according to agency policies.
  • Oversee and implement the inventory, storage, and distribution of in-kind donations agency wide.
  • Regularly request input on the in-kind donations wish list from program staff. Update and maintain the wish list on the website.
  • Coordinate with Development Associate to input accurate in-kind donor information and donation records into Raisers Edge.
  • Ensure that donors are promptly and properly acknowledged for their gifts.
  • In collaboration with the Fund Development Team and ECS Directors, plan and coordinate the successful execution of the Holiday Gift Drive.

Other relevant duties as assigned.

This position provides back-up support to the Development Associate

MINIMUM QUALIFICATIONS:


  • Bachelors degree or equivalent experience, with four (4) years of experience in program coordination in the non-profit sector, preferably with experience in corporate relations, events, or fundraising.
  • Demonstrated ability to effectively recruit and work with volunteers. Effective at oversight of large group activities and volunteer events.
  • Strong project management skills including planning, coordination, communication, and implementation of multiple projects on competing deadlines. Able to be flexible and re-prioritize as needed and communicate with staff and collaborating teams as organizational priorities shift.
  • Highly organized and self-motivated with the ability to take initiative and work independently or as part of a team.
  • Excellent written, verbal, and interpersonal communication skills. Experienced communicating professionally with various stakeholders, including donors, corporate leaders, volunteers and groups.
  • Comfortable with public speaking and experienced in organizing and facilitating events.
  • Comfortable and successful in outreach to a variety of in-kind corporate sources.
  • Strong commitment to advancing diversity, equity, and inclusion.
  • Possess a positive, solutions- and teams-oriented attitude.
  • Possess a customer service mentality, sense of humor. Be flexible and adaptable in a fast-paced work environment with competing deadlines.
  • Experience with Raisers Edge, Cervis Volunteer Management Database, Constant Contact and Microsoft Office applications desirable.
  • Deep familiarity with ECS work and passion for our mission.

OTHER:


Must secure finger image screening, annual TB screening and show proof of COVID vaccination. Will honor and abide by Episcopal Community Services rules and regulations, including confidentiality. Must be able to meet physical requirements of the position which may include long periods at a desk and daily travel to various sites.
