Wholesale Operations Assistant

Department: Wholesale

Reports into: Commercial Director

Location: Hybrid (3 core office days, 2 remote working days)

JOB ROLE

This role is integral as a key stakeholder liaison throughout the business. Through accurate, consistent, and thorough management of operational tasks and duties, you will provide the highest level of customer service to wholesale accounts. Assisting with wholesale operations and providing effective and efficient customer service while meeting budgeted sales is key to this role.

KEY RESPONSIBILITIES

  • Manage the sales of the accessories and homeware for the brand internally, working with key retailers and managing the end-to-end relationship.
  • Liaison with our external sales agency, customers, key stakeholders and warehouses to manage the end-to-end relationships for the business.
  • Manage the communication between the external sales agency and ensure stock is delivered on time and customers are kept up to date.
  • Ensure order confirmations are sent to wholesale customers timely and follow up on any discrepancies: cancellations, change of styles etc.
  • Work closely with the inventory management of stock and update reports accordingly.
  • Carry out on the ERP system (Zedonk) the required sale support tasks and procedures such as customer order entry, receiving stock/issue adjustments, style searches etc.
  • Investigate any issues that may arise regarding stock issues and adjustments.
  • Assisting in allocation and shipping analysis through formal reporting or order book, shipping, forecasting, etc.
  • Be the final point of review for quality control of all stock that is shipped to brand partners/the agent from head office
  • Ensure departmental and customer database are updated regularly and accurately.
  • Distribution of important communication and materials, such as delivery updates, shipping details etc.
  • Provide regular feedback on order and shipping status to Finance.
  • Reporting system errors and consistently and in a detailed manner.
  • Ensure accurate stock movements are recorded on all systems in a timely manner.
  • Ensure orders process correct and on time, including raising PO’s.
  • Stock control and management warehouse reports, interdepartmental documents and liaison with Production and Merchandising teams.
  • Ensure data accuracy and integrity relating to customers and orders.
  • Liaison with customers, sales managers and warehouse to ensure stock is delivered on time and customers are kept up to date.
  • Ensure that problems and issues are tackled in a timely manner, liaising with the management and the relevant key contacts to ensure that the best solutions are being offered to maximise the result.
  • Ensure documentation is generated accurately and timely.
  • Ensure orders are shipped complete at the beginning of the season.
  • Sending purchase invoices for approval to the budget holders
  • Posting purchase invoices on Xero
  • Importing sales invoices from CRM system to Xero
  • Creating payment runs for review and paying suppliers
  • Overseeing the Accounts email account and replying to supplier queries
  • Posting petty cash and employee expense forms

ADDITIONAL RESPONSIBILITIES

  • Assist with Trade Show/Sample Sales set up and pack down when required
  • Occasional working weekends / evenings for events and sales trips.
  • A supportive and proactive member of the head office team, bringing forward ideas for improvements within the business, contributing feedback alongside offering solutions.

WHO WE'RE LOOKING TO HIRE

  • Previous relevant experience within the context of a fast paced office environment.
  • High level of organisation, attention to detail and accuracy.
  • Curious with the ability to investigate issues and solve problems through a methodological approach,
  • Experience and ability to work in an environment that has a high volume of data entry.
  • Strong affinity to work within the fashion industry; in particular the premium to luxury sector.
  • Strong computer skills including an intermediate level of knowledge in Microsoft Excel.
