Job Description and Specification

Job Title: WAREHOUSE SUPERVISOR

Purpose: To effectively supervise all warehouse related matters covering the whole goods in/out procedure.

Accountabilities:

  • To adhere to Company policies and guidelines at all times
  • To ensure the highest standards of Health and Safety in the warehouse area
  • To operate all machinery carefully and ensure its good upkeep
  • To ensure all stock is stored and moved carefully and safely

Knowledge & Competencies:

In order to succeed in this role you will be expected to have full control in the following areas:

Communication:

  • Ensure that all Senior Managers, Department Managers and Supervisors are informed of all daily deliveries and that all Head Office deadlines are met.

Security:

  • Ensure the integrity of the warehouse areas including the outside yard and any storage containers.

Health & Safety:

  • Comply with all Legal & Company Health & Safety regulations.
  • Liaise with the Health and Safety department at Head Office and to keep up to date with the current legislation.
  • Ensure the safe use of machinery, electrical equipment, manual handling and general housekeeping of the warehouse.
  • Keep written records of accidents and electrical and machinery testing.
  • Keep all risk assessments up to date and ensure risk assessments are completed on all pregnant members of staff.

Personnel:

  • Training: You must ensure that:

o All staff are fully competent in the duties asked of them
o All staff can work safely
o You identify training needs
o All training is completed.

  • Rotas: You must ensure that:

o The weekly staff rotas are organised and adhered to
o The warehouse has sufficient cover at all times.

  • Discipline: You must ensure that:

o All staff adhere to all Company procedures.
o You gain full productivity from all staff at all times
o You maintaining a pleasant working environment.

  • Recruitment: You must ensure that:

o All vacancies are brought to the Store Manager’s attention.

Stock Control:

  • Liaise with the Senior Management Team on all stock issues.
  • Monitor all stock deliveries as per Company procedures and periodically spot-check vehicles entering and leaving site.
  • Ensure any stock movement i.e. in-store transfers has authorisation.
  • Ensure all customer collections and deliveries are signed for in the correct manner.

Daily Inspection:

  • You are responsible for morning checks to ensure that all machinery, mechanical aids and ladders are safe and ready for the start of business.
  • Check on the daily delivery schedule, preparation of relevant areas to receive expected deliveries, and ensure that stock can move smoothly from warehouse to shop floor.
  • Check the interior and exterior of the warehouse for cleanliness and security.
  • Check the rubbish and waste paper skips.
  • Check any fire exits in the warehouse to ensure they are free from obstruction
  • Ensure security and safety of staff while they are in the warehouse area.

General Tasks

  • Be able to check deliveries quickly and accurately
  • Ensure all delivery notes are stamped, dated and signed
  • Complete all relevant paperwork neatly and pass to the Office Assistant in a timely manner
  • Ensure shortages and overs reports are completed on the day of delivery
  • Ensure accuracy of goods location
  • Follow Company procedures at all times and work in a manner that is safe and will not put either customers or other employees at risk by your actions that would leave the Company liable to legal action.
  • Satisfy store requirements in a fast and responsive way
  • Ensure all stock is handled with care at all times
  • Have a Reach/counterbalance licence
  • Be punctual – it is your responsibility to know your rota / shift patterns.
  • Represent the Company on a day-to-day basis with deliveries and collections, therefore must act responsibly and professionally at all times.
  • Take in all training and act upon it – asking for explanations on anything you are not sure about.
  • Have good communication skills

These tasks are not exhaustive and you may be required to carry out other tasks as required.

  • Be able to work well with team members, respect customers, delivery drivers and shop floor staff when moving stock around the store and warehouse area.
