An exciting opportunity has arisen to join our existing Trauma and Orthopaedics team within St Michael's Hospital.
The post holder requires a willingness and enthusiasm to be able to support the wards and the day case unit with its clerical administration. You will work in a busy environment, providing a reception service for patients and relatives. The role also includes managing patients' records, supporting the ward with audits and maintaining the relevant databases associated with the role.
As a member of a multi-disciplinary team, you should possess excellent interpersonal, verbal communication and organisational skills. Keyboard/IT skills are essential and hospital experience is desirable.
As a patient’s first and last point of contact with the hospital, special attention should be given at all times to ensuring a positive patient experience by providing a welcoming, helpful and supportive reception service.
The post holder will be expected to: meet and greet patients, carers and visitors on to the ward in line with the Trust procedures.
To maintain and update the Patients Administration System (PAS) following training using training manual and procedures supplied.
To understand the complete range of administration functions, responsibilities and duties both routine and non-routine to contribute to the effective delivery of patient care, through knowledge of hospital systems and consultant practice.
To admit and discharge inpatient's, Day Case patients correctly onto PAS to enable Clinical Coding to extract the information.
The post holder will be responsible for accurately collecting demographic and personal details to ensure the Trust captures essential income.
The post holder will be required to work with minimal supervision and have the ability to work under extreme pressure, and be able to exercise sound judgement and decision making skills whilst working as part of a team or under own initiative.

To ensure timely updating of patient movement on the Patient Administration Computer System (PAS)
To complete the daily bed statement, ensuring correct documentation of all patients admitted, discharged or transferred.
Liaise with Patient Activity Team/Patient Registration Centre as required to support timely patient throughout and accurate record keeping.
Deal with telephone calls and enquiries after referring to the nurse in charge.
Welcome patients and visitors to the ward.
Perform clerical duties in connection with admission, management and discharge of patients.
Ensure that case notes are obtained for all patients and available on the ward when required.
Maintain case notes in good order.
Ensure case notes are prepared ready for ward rounds, clinics and pre-assessment.
Ensure outpatient appointments are made following discharge.
Order hospital transport when necessary at the direction of medical staff. Record casualty attendances.
Distribute mail to patients and ensure mail is re-directed when necessary.
Liaise with diagnostic departments and portering staff when patients require investigations.
Liaise between members of the care team as requested.
File reports etc. as appropriate.
Maintain patient confidentiality at all times.
Any other clerical duties as may be required by ward manager as appropriate to the grade.
Have the flexibility to be able to change days of work to cover sickness/leave for other ward clerks.
