Job description

Be the welcoming face for our paediatric patients and their families to our busy children' ward. The successful candidate' duties primarily involve delivering an effective and efficient administration support to the paediatric clinical team. Assisting in the provision of quality patient care from admission to discharge, working closely with the ward manager and clinical staff by upholding the role’ responsibilities to ensure the efficient running of the ward undertaking the administration processes for each admission.

Be the front of house representation for the ward, meet and greet patients and their relatives upon arrival using the intercom system. Answering the telephone promptly and efficiently handling a variety of requests in a professional manner, referring the call to the relevant member of staff, as appropriate.

To scan and import documents, reports, correspondence, forms etc to patient clinical notes on the same day and be processed according to the established Standard Operating Procedures (SOPs).Assist the clinical team with discharges on a daily basis, liaising with medical staff for completed electronic discharge letters and pharmacy for discharge medications.

PRINCIPAL RESPONSIBILITIES

  • Be the front of house representation for the ward, meet and greet patients and their relatives upon arrival using the intercom system.
  • Undertake reception duties as necessary, admitting the patient to the ward using the hospital IT system ensuring confidentiality and security of patient information as per Trust policy in line with Information Governance guidance. Ensure data quality and accuracy of any information entered into patient IT systems is maintained.
  • To present a professional image at all times, to ensure that good communication and customer service is maintained with all patients and colleagues.
  • Answering the telephone promptly and efficiently handling a variety of requests in a professional manner, referring the call to the relevant member of staff, as appropriate.
  • To make telephone calls on behalf of the Nursing/Medical team as directed.
  • To scan and import documents, reports, correspondence, forms etc to patient clinical notes on the same day and be processed according to the established Standard Operating Procedures (SOPs).
  • Assist the clinical team with discharges on a daily basis, liaising with medical staff for completed electronic discharge letters and pharmacy for discharge medications.
  • Process Health Visitor Forms to the community health visiting team same day as discharge following the in house process.
  • Respond to ward specific emails and other ad hoc requests, ensure comprehensive information is captured when taking messages for other members of the team.
  • Ensure appropriate transport arrangements are in place and that these are communicated to the patient/Next of Kin (NoK)/carer.
  • Assist with interpreter bookings for inpatients when required.
  • Retrieve health records as requested by members of the team.
  • Manage the ward procurement of administration supplies liaising as appropriate with the nurse in charge when stocks need to be replenished.
  • Collect data as required to assist with audits of service provision under the request from the ward manager or Nurse in Charge.
  • Maintain excellent communication between patients, nursing staff, clinicians and other members of administrative and multi-disciplinary team at all times
  • Assist the ward manager in the administrative process for the recruitment of new ward staff and induction planning.
  • Attend ward morning huddles for daily updates and communication with nursing and medical team for relevant information for the day shift ahead.
  • Attend team meetings when requested with line manager.
  • Flexibility to cross cover other inpatient paediatric areas when needed under the request from line manager.
