We're looking for a Virtual Assistant who can work with us to provide administrative support to our growing business. The ideal candidate will possess strong time management and team-working skills, and will be capable of performing all administrative tasks required of him or her at a professional level and with a high degree of accuracy. The right person will be extremely organised, capable of multi-tasking, able to work well under pressure, and will take initiative when necessary. The role is varied and includes but is not limited to:
- Provide administrative or secretarial support for the company.
- Use good judgement and take initiative in handling tasks and use good judgement when making decisions.
- Manage your own time.
- Work with a variety of people or a small team, including internal staff, outside vendors, and clients.
- Create and execute filing systems to keep up with email, tasks, and documents.
- Do a variety of clerical work such as word processing, data entry, copying, sorting mail, preparing reports of varying degrees of complexity., etc.
- HR tasks; Assisting with recruitment including chasing references, Coordinate communication with candidates and schedule interviews and helping to interview candidates with management.
- Assigning staff to mandatory training courses after training
- Writing letters from voice notes sent
- Checking reports written by staff to local authorities
- Writing up Staff Supervisions
- Helping with payroll and invoices after training
- Event admin - e.g. team meet ups, virtual meetings, trips for the young people organisation
- Sourcing courses for staff, goods required for the company
- Minute taking events/meetings for the young people and other Senior Level meetings where needed.
- Helping with tenders after training
