Job description
Title: Utilities Administrator
Place of Work: Northfleet (but role may require visits to external client locations)
Hours of Work: Full Time - 37.5 hours per week (09:00 - 17:30, but may use flexi-time/flexible working)
Main Purpose of Role:
To administrate the utilities applications for various projects, procure quotations, update required records and maintain client relationships.
Principal Tasks and Responsibilities:
Design
- Obtain existing services records from utilities providers.
- Liaise with design team members (within WDA or external) to review site incoming services requirements.
- To organise disconnections/diversions as appropriate.
- Complete applications form and liaise with incoming services providers through to completion to obtain best quotes for clients.
- To provide a general comparison of multiple quotes to clients with assistance of the WDA Design Team.
- To manage information internally to ensure that responses to utilities providers are prompt and agreed within timescales.
- To check received quotations against applications and forward to WDA Project Leader for final sign off and liaise with utilities providers as required to resolve any incorrect quotations.
- To liaise with design team to resolve any design issues surrounding utilities provision.
- Once quotation has been checked and approved to ensure client is fully aware of timescales associated with quote expiry dates.
- To have a basic understanding of the fundamentals of M&E systems being designed and attend workshops to improve knowledge of the industry.
Communication
- Maintain regular progress conversations with Senior Management, producing monthly reports
- Accurately summarise correspondence and progress relating to utilities applications on a project tracker.
- To discuss queries and seek clarification as required.
- Ability to liaise confidently, concisely and professionally with clients and design team members by phone, email and in person, being proactive where appropriate.
- Ability to liaise confidently, concisely and professionally with utilities providers by phone, email and in person, negotiating the best solution for our clients
Supervision
- Make sure all documentation is of a high quality and the information conveyed is accurate and robust.
- To assist department members and other staff with queries.
- To monitor team performance and individual team member performance to resolve issues when required and liaise with the Technical Director or Human Resources, where necessary
General
- Completion of daily timesheets accurately and efficiently
