Role summary The post holder will provide a comprehensive clerical service to staff members within the Department. To work with the minimum supervision in an organised, efficient and effective manner, in order to maximise the effective use of both their own time and that of departmental staff. It is essential that the post holder uses initiative compatible to the role and it is vital that confidentiality is maintained at all times. Principle Relationships Medical secretaries, patients, associated professionals/clinicians and medical records staff. Key responsibilities Audio typing of all patient correspondence accurately and in line with Trust KPI targets. Retrieval and tracking of patient case notes. To ensure correct and timely filing of results, tests and all correspondence into the Walton Centre case notes. Sort, date stamp distribute and re-direct incoming mail. Date stamp all referrals which come into the office and log them in the agreed manner as appropriate. Use the Patient Administration System as required. To ensure proper use of the office equipment e.g. photocopier, fax machine, laminator etc. To ensure case note tracking of patient notes in an accurate and timely manner. To adhere to an operational timetable within the secretariat in order to meet deadlines for patient clinics Deal effectively with requests made within the secretariat relating to patient care. To deal with patient related matters in a confidential and professional manner To assist with reasonable requests for administration report within the secretariat. To work as an effective team member within the secretariat. To work in co-operation with other staff to co-ordinate annual leave.
