Treatment Coordinator Job Description
The principal job of a Private Treatment Coordinator is to try and take potential customers from our marketing channels through the Patient WOW journey, providing 5 star customer service and enhancing their dental experience, which will eventually lead them to have treatments carried out by our dentists. The journey continues during and also after treatment has been completed, by ensuring we collect testimonials from the patients and ask for WOM referrals. Your role include Marketing activities that we as a business carry out to enhance awareness of our brand and the services we offer.
Our main sources are; Website, Social Media, Newsletters, YouTube, CRM software and Word of Mouth. As a TCO , it will be your principle objective to ensure that all our marketing channels are constantly updated with relevant and fresh material and that all different sources are adequately tagged so we can effectively monitor which of our channels are the most successful. All of this marketing activity is to improve brand awareness and will allow us to get patients through the door and increase sales.
The qualities and skills required for this role are:
Organised – you will be managing your own diary and will have several tasks that will need to be carried out regularly. Thus, organisation is key to success.
Communication skills – your job will in essence be about your ability to communicate effectively with patients, team members and outside contractors. In order to succeed you will need to master the ability to build rapport with patients and sell to them, motivate and inspire team members to follow you and assert your knowledge and authority to outside contractors in order to get stuff done.
Creative – a lot of this role will require you to find the ‘hidden gem’ of a patient story and share it publicly either via email or social media. You therefore have to have an eye for fi nding the next big story and creating a buzz around it.
Resourceful – you will need to work hard to make the most of all the material you will be working with and know when to use what and how.
Charming – more of a quality than a skill but being charming can really help you sell. If you master this, patients will be happy to buy from you and it will increase practice sales.
Attention to detail – everything you send out publicly whether it be on the website, Facebook, email, or even a short video, will be visible to the whole population and will represent [practice name]. This means that even the smallest mistake, typo, incorrect branding, inappropriate comment will be visible to all. You will literally be the face, body, and mouth of The Smiles Studio , which means you have to ensure none of these mistakes ever happen. That means being obsessive with detail, proof-reading everything twice and ensuring no mixed message or contradictory view ever leaves your computer.
Leadership – you will be responsible for executing several systems but will also be responsible for training others to follow and adhere to them also. You will eventually be requested to roll out the TCO role in the other practices, which will requires demonstrating leadership.
Willing to constantly learn – TCO is a dynamic and fluid industry that is constantly improving. You will have to be willing to read around the topic, attend seminars, go to peer meetings, work with coaches, do new courses and everything it takes to stay ahead in this fi eld.
