Transport Coordinator

We are seeking an experienced Transport Administrator to handle a wide variety of duties across all regions. The successful candidate will provide general day to day office support across our busy transport department.

Hours: 37.5 hours, Monday - Friday
Salary: £23,000

Responsibilities:
Assisting the Transport Manager in administering the fleet.
Driver License Checks.
Service record keeping.
Monitoring key dates (MOT, Tax, Certifications).
Vehicle Handover Reports.
Ordering parts.
Monitoring external repairs.
Responding to PCN’s and Road Traffic Offenses.
Accident Reporting.
Assist with the delivery & collection of vehicles to and from maintenance providers for their Periodical Maintenance Inspections and or servicing.
Filing of Service Documents, to include relevant data entry onto the fleet management database. This will also require accessing 3rd party web portals to download electronic service documents.
Collation & Filing of Defect records. Sorting defect records returned by depot and ensuring they are filed appropriately, to include removal of historic records where appropriate.
Collation & Filing of Drivers Hours. Sorting drivers’ hours logs returned by depot and ensuring they are filed appropriately, to include removal of historic records where appropriate.
Weekly Forward Plan of Vehicle Maintenance. Assist the Transport Manager in the timely distribution of weekly maintenance & MOTs due to the operating depots and following up completion of that activity.
Assignment of vehicles to fleet pay systems. Manage vehicles to be added or removed to TFL Congestion charging or Dart Charge accounts.
Assist in long term repair (Inc. accident) control. Work closely with the Transport Manager in the management of warranty repairs, accident repairs and routine maintenance to ensure actions are completed in a timely manner.
Assist with ensuring all road traffic accident report forms are completed accurately and fully. All pictures and evidence are collated and assist with reporting to insurance and completion of accident report recording.
