Position Overview
Vantage is looking for a high-potential, detail-oriented and quick-learning Global Training Coordinator (Co-ordinator) to effectively coordinate the planned global training initiatives throughout the organization. This individual will report directly to the Director of Global Talent & Culture with a dotted line to the Global Training Manager with coordination of the many training programs that impact the day-to-day business activities of Vantage.
In this role, the coordinator will triage and respond to incoming internal questions and requests, maintain, and update the training schedule, develop internal training and culture-impacting communications, and complete project action items to improve operational efficiency and employee experiences. Candidates should be comfortable with communicating with varied levels of leaders and excellent communication skills, as they will support the Talent & Culture team’s communication and program branding and community outreach programs that support the training initiatives.
Key Responsibilities
- Support the Director of Global Talent & Culture and the Global Training Manager with the Talent & Culture (T&C) team’s Global initiatives.
- Project manage the deployment of eLearning and V-Learning in our company LMS (Workday Learning).
- Main point of contact for all LMS (Workday Learning) queries.
- Support in the coordination of events, meeting and monthly newsletter for Vantage’s diversity & inclusion council JEDI (Justice, Equity, Diversity & Inclusion) and the affinity groups associated to JEDI.
- Create and prepare informative and engaging company communications relating to JEDI and Talent & Culture events
Duties
Administration of VDC’s Learning Management System (Workday Learning)
- Raise tickets with external support vendors to resolve technical issues with Workday Learning
- Respond to emails regarding Workday Learning and provide basic level of technical troubleshooting.
- Transfer and upload eLearning modules from created content (iHasco, Ethics Point/Navex, Safety Hub) into Learning Management system (LMS) Workday.
- Manage training commodities such as training presentations, policies and procedures, course handouts, article printouts, external article/blog links and other various learner materials in Workday Learning.
- Coordinate with global trainers, 3rd party vendors and participants to provide logistical and technical support before, during and after the delivery of training programmes.
Track and manage learner records and reporting
- Mark workshop attendance in Workday Learning for all workshops
- Work with the regional and global trainers and leaders to ensure leaner records are updated in the LMS.
- Provide ad-hoc reports for compliance and other audits using historical system data and current system data.
- Prepare monthly training completion status reports for Exec members and their teams for escalation purposes.
Workshop Management
- Coordinate in-person training facilitation, to include ordering supplies, catering, coordination with EA’s/Leaders, training, etc.

- Setting up calendar invites if necessary
- Provide enrollment communication
- Manage participant enrollments and mark attendance post program.
- Track and maintain LMS training schedules and courses for most up-to-date schedules.
- Manage recorded sessions and content upload to SharePoint or Workday Learning, as requested by the SME and training team.
Project Management
- Support the deployment of the Talent Development Roadmap by ensuring that any administrative tasks are planned and delivered according to the project timelines.
- Maintain the T&D project planner in partnership with the Global Talent and Culture Director.
- Assist in the project management of Global JEDI events as presented in the JEDI Roadmap
Communication
- Research, create and deploy the monthly JEDI newsletter in partnership with Affinity Group leaders and the JEDI leadership team
- Maintain regular check-in’s, updates and feedback from affinity group leaders to update the JEDI SharePoint site
- Prepare quarterly communication for Vantage Learning Labs and curating content on VDC University to support the quarterly workshops
- Maintain all T&C owned SharePoint sites and ensure they are up to date with the latest updates and information
- Support stakeholders and SME’s with preparing eLearning learning go-live comms highlighting access and reporting technical issues
Coordination and scheduling
- Schedule facilitators to deliver Learning Lab workshops
- Schedule Coffee Catch ups for New Hires
- Deploy Onboarding & 360 surveys, preparing necessary reports
- Schedule JEDI Council meetings and circulate the agenda and minutes
- Prepare and deploy annual learning needs analysis survey
Support and coordinate the JEDI council events and meetings
- Work with the JEDI Leadership Team and Affinity Groups to coordinate meetings and events
- Support the Director of Global Talent & Culture to maintain and manage the council’s meeting minutes, action items and other trackable items coming out of the monthly and ad-hoc council meetings.
- Draft and publish companywide communications to educate and promote JEDI events across the globe.
- Manage and maintain the JEDI council’s membership listing
Talent & Culture team support
- Preparing engaging and informative presentations as required
- Provide support for ad-hoc requests from the wider T&C team.
Candidate Experience
- Bachelor’s degree or equivalent experience required. Recent graduates are encouraged to apply.
- At least 3 years in a coordinator role/ project manager role, preferably in the training space
- Experience of working with Learning Management Systems (LMS), specifically Workday Learning
- Experience deploying an LMS is highly desirable
- Evidence of strong project management skills
- Advance user of PowerPoint, Excel and SharePoint
- Ability to work with agility and manage concurrent projects
- Ability to learn new products and technologies at speed
- Travel required is expected to be less than 5%, but may increase over time as the business evolves
