An exciting opportunity has arisen to join the Fleet team as a Team Organiser on secondment for approximately 3 months. As a Team Organiser you will provide support and expertise to the Management Team at Eastcroft Depot, facilitating the general functioning of the Depot.
You will be responsible for the following:
- Monitoring and processing Depot Production figures: inputting data to Maintenance IT package supporting Team Leaders; ensuring comprehensive records are maintained and scheduled work identified; producing end of period reports; supervision of in-process check sheets.
- Creation, Development and Maintenance of IT packages for Maintenance/Production etc. Reviewing and updating records for inclusion in the various databases.
- Management of time and attendance for Eastcroft Depot. Collation of timesheets (including agency staff), dealing with all payroll enquiries.
- Ordering/purchasing materials from suppliers using TACT systems. Responsible for the control of purchase orders.
- Administration of stock purchasing system (Uniplan) and creating orders etc.
- Improvement and monitoring of the shared filing system both computerised and manual.
- Organise and facilitate depot meetings of all kinds including booking conference suites and hotels when required.
- Responsible for the management of the office in support of the Depot, including: managing fleet vehicles; control and order of stationery, oversee the use of company vehicles and fuel cards.
- Manage reception; first point of contact for all visitors; answer telephone and deal with all general enquiries
- Support the company in the effective, efficient and safe management of the depot, including all Quality, Health, Safety and Environmental (QHSE) processes.
We are looking for someone with great interpersonal and communication skills with the ability to communicate with the ability to deal with Customers/Suppliers/Staff both face to face and on the telephone. You will be highly organised and you will be able to interpret, analyse and present data in a variety of ways to different levels of Management. You will have excellent IT skills including knowledge of Word, Excel, PowerPoint, Access and Visio. It would also be extremely beneficial to have knowledge of stock ordering systems, TACT and Uniplan.
