Job description

Purpose of the Role:

To be the first point of contact, providing efficient and effective event support to all travelling members of McLaren Electric racing (Formula E), from the initial request of travel to the end of the event. Supporting Team management in providing effective assistance to the travelling Team by identifying, facilitating, and delivering, directly or through internal or external suppliers, all provisions and services required by the Team.


Key Relationships:

The successful candidate will work closely with the travel team, clothing teams and Marketing teams, leading the information flow, documentation and process from Formula E headquarters based in Bicester.


Principal Accountabilities:

  • Working with the Head of Trackside operations to manage all logistics relating to people, travel, and accommodation for the Race Team. Working closely with colleagues in Team & Travel to maintain accurate attendance list for travelling staff and to ensure that flights, hotels, and transfers are arranged as required for the below.
    • Race events
    • Test events
    • Simulator and ad hoc travel.
  • Supervision and sign off the overall itinerary for a given event. Actions and communications for detailed and immediate implementation of the itinerary.
  • Verifying and maintaining accurate attendance registers for events and coordinating all pre-race communications to the team via distribution.
  • Responsible for the permanent accreditation of passes for the team with FEO and FIA.
  • Management of Hotel rooming lists, hire car reservations and transfers.
  • Visa applications as and when required plus maintaining travel document details
  • Manage subsistence event data and submission to Finance.
  • Implementing security and risk-mitigation plans for tests and races and assessing security levels during transfer and while at venues.
  • Supporting the logistics of drivers, team management, communications, and Marketing.
  • Working with FEO catering and garage support teams to ensure that refreshment areas are well-stocked and kept tidy.
  • Manage all team services orders pre-event and during the event.
  • Managing the replenishment and laundering processes for all travelling team personnel including driver kit.
  • Ensuring that all driver helmets, uniform, and technical wear (including any spares) are delivered trackside and in accordance with current FIA and branding guidelines.
  • Identify and exploit opportunities to elevate clothing and technical wear standards, working with Clothing, Marketing, and external suppliers to suggest improvements for comfort and effectiveness.
  • Collaborating with internal and external stakeholders on future projects and programs.
  • Support with all administrative and operational matters relating to Covid-19 where applicable.


Knowledge, Skills, and Experience:

  • Experience of managing travel and team organisation in high-pressure and time-critical environment.
  • Experience of improving and streamlining procedures for greater efficiency and communication channel.
  • Good working knowledge of Microsoft platforms and SAP
  • Travel Budget management adhering to team’s process and championship budget cap.
