Role Purpose
To provide full administrative support together with the current administration team, supporting the Project Management & Building Consultancy team in Scotland ensuring that the team needs, and clients’ needs are met. The candidate will also be required to be flexible and support other teams where necessary. This role can be based in either Glasgow or Edinburgh.
Key Responsibilities
- Working for the team(s) across all levels.
- Using CBRE’s finance system to generate invoices, reconcile income, help manage work in progress and assist with financial reporting.
- Project registrations, client set-up and Anti-money laundering checks with the help of the compliance team.
- Use of internal systems including Client iQ/Salesforce.
- Preparation of outgoing correspondence and various other documents, including reports and fee proposals/pitches.
- An understanding of the team’s priorities including diary management. This involves organising travel (including itineraries), client and internal meetings, lunches and dinners, as well as expenses management.
- Managing some incoming communication (including phone calls, voicemail etc), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner.
- Maintaining online filing system for all current projects which adheres to CBRE standards of compliance (this includes preparation for external audits)
- Supporting the team in the preparation of reports and the creation of presentations and pitches to a high standard using Microsoft Word, Excel, PowerPoint and Adobe Professional.
- Effective communication with the team, ensuring a high level of awareness of current priorities.
- On-boarding of new starters to the team.

Job Type: Full-time
Salary: £20,000.00-£30,000.00 per year
