Job Title: Team Assistant

Summary:
The Team Assistant is expected to undertake administrative responsibilities in a fast-paced, hybrid working environment, with an expectation of working at least 3 days in office each week, on average. The ideal candidate will be experienced in handling a wide range of administrative tasks and will be able to work independently with little supervision. This person must be well organized, flexible and enjoy the administrative challenges of supporting a team of diverse people and programs. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, whilst remaining flexible, proactive, positive, enthusiastic, resourceful and efficient, with a high level of professionalism and confidentiality, is crucial to this role.
Your key accountabilities:
General Admin Support:
Diary management for team leader, liaising with other team assistants internally and externally to ensure alignment for meetings etc.
Support new joiners onboarding – IT equipment and set up, systems access, introductions, corporate card etc
Provide individuals with PPE as required
Prioritise team requests, seeking guidance if appropriate
Work as part of the Agile North Sea Admin Squad:
Working as #OneTeam to encourage collaboration and championing best practice to improve processes and systems in the organisation.
The Admin Squad work as a close team providing mutual support and sharing ideas to ensure the smooth running of the north sea business.
Event/Team off sites/Leadership meetings:
Organise offsite meetings and events, ensuring that the practical arrangements are in place including video/teleconference facilities where required, and that the necessary preparatory materials are received by all parties on time.
Build good working relationships with internal and external providers.
Travel:
Encourage individuals to book their own travel directly, ensuring that travel arrangements align with bp travel policies.
There may be occasions when the Team Assistant would be required to identify and book domestic and international travel, including flights, hotels, cars and visas, on behalf of line managers
Expenses / purchasing:
Support with handling expenses in a timely manner and in line with compliance policies and procedures.
Raise purchase orders for cost codes and arrange direct supplier payments as required, ensuring these are reported and costed correctly.
You will need:
Ability to demonstrate experience in the full range of administrative skills required
Good written and verbal communication skills
Proficient in MS Office software
Strong organisational skills and attention to detail
A team player who is self-motivated and proactive and is able to prioritise and take ownership of tasks
Able to demonstrate discretion and cultural awareness
Strong interpersonal skills with ability to build relationships internally and externally
