Job Title: Team Assistant

Job Location: Aberdeen

Contract Length: 6 months (possibility of extension)

Industry: Admin, Oil and Energy

Hours: 7.25 per day/ 36.25 per week

Key Requirements: Proficient in English language and writing, organisational skills, MS Office

Engagement via an umbrella company only

Role Overview:
The successful candidate will work with one of our North Sea teams to provide administrative support to the managers and team members. They will work as part of the North Sea Admin Squad, working as #OneTeam to encourage collaboration and championing best practice to improve processes and systems in the organisation. The Squad will work with the candidate to develop their skills and provide training.

What you will do:
Diary management: Help to manage a complex and ever-changing calendar, including scheduling of meetings and calls across multiple locations and time zones, working with both internal and external stakeholders. Incorporate all logistical needs e.g., booking of conference rooms and technology.
Event/Team off sites/Leadership meetings: Assist in organising offsite meetings and events. Build good working relationships with internal and external providers.
Travel: Assist with identifying and booking domestic and international travel, including flights, hotels,
Expenses / purchasing: support with handling expenses in a timely manner and in line with compliance policies and procedures. Raise purchase orders for cost codes and arrange direct supplier payments as required, ensuring these are reported and costed correctly.

Strong organisational skills and attention to detail
Reliable, self-motivated and proactive with tons of common sense
Comfortable working both individually and as part of a team
Excellent written and verbal communication skills. Actively listens and checks own, and others’, understanding.
Experience in MS Office but training and support will be given
Seeks out learning and development opportunities.
Displays a flexible and adaptable approach. Is open-minded and supportive of change. Will make any extra effort required in order to deliver on goals.
