ABOUT SPECTRUM GAMING
Spectrum Gaming is run by a group of dedicated staff, volunteers and a strong team of trustees who help to ensure we get things right for our community members. While Spectrum Gaming is managed and facilitated by adults, we believe that young people’s voices are the most important in deciding how services should be delivered and how they should be supported. Therefore, what we do, how we run, and our transformation is driven by members of our community. 35 autistic young people are part of our voluntary staff team, and they fulfil a variety of roles including Server Managers, Event Planning Managers, Server Improvement Team Members and Moderators.
Working with young people has led to the creation of the 3 core values of Spectrum Gaming:
- Child-centred: We work with our young people in equal partnership, to achieve what’s important for them.
- Reflective: We always try our best, encouraging challenge and change in order to learn and improve.
- Attentive: We prioritise the needs of our community to ensure that changes do not compromise their experience and help achieve excellence.

At the moment, there are:
- Over 450 young people in our under 13 community
- Over 250 young people aged 13-17 in our teenager community
- Over 400 young people people on our Minecraft server
- Over 1900 members of our Facebook group for parents and professionals
And these numbers are continuing to increase due to high demand.
In addition to our online community, we run a variety of face to face meetups across Greater Manchester. Meetups so far have included a monthly forest school, trainspotting, gaming clubs, hikes and more! Activities are chosen by our community based on their interests.
Spectrum Gaming exists as we have recognised huge gaps in how autistic young people are supported, and we believe in creating change and offering high quality support, so that autistic young people live the happiest lives they can.

ABOUT THE ROLE
Position: Team Administrator
Location: Working from home
Salary: £8,400 (£21,000 full time)
Hours of work: 16 hours per week (negotiable), flexible working pattern
Annual leave: 90 hours paid leave (equivalent to 11 days)
Contract length: Minimum of 12 months, with extension if we are successful in obtaining more funding for this post

PURPOSE OF THE POST
We are looking for an Administrator who can support the ambitious work we do at Spectrum Gaming (SG). We are looking for an administrator who can support team by completing admin tasks, including responding to emails, social media messages, arranging our training sessions, verifying young people in our community and also offering direct admin support to our Creative Director. This is a varied role and will include some support on a variety of Spectrum Gaming projects.
KEY RESPONSIBILITIES
General duties
- Leading on the verification process for young people waiting to join our community.
- Taking the lead on responding to enquiries, mostly via email and social media, forwarding this on to other colleagues if required.
- Sending invoices as directed by the Creative Director/ General Manager.
- Drafting agendas, collating and circulating papers and attending and taking minutes of various Board and Team meetings as required.
- Being a helpful presence and respond to enquiries in person and online from our
- team and community.
- Helping to run our Facebook group for parents, including approving/declining new members and moderating the content inline with SG policies.
- Distributing information to staff, volunteers, parents and supporters as directed.
- Providing administrative support across all Spectrum Gaming’s projects on an as-needed basis.
Training & Event Admin
- Supporting the day-to-day admin processes including taking bookings, sending confirmations, handling logistics, processing refunds, issuing certification, and collating evaluation feedback.
- Responding to all training related enquiries via email and phone.
- Supplying tech support to online courses at least once per month.
- Inputting accounts and receipts (entering expenses & income into spreadsheet)
- Maintaining accurate Eventbrite listings for all training events.
- Booking venues, caterers, travel, and accommodation when necessary, working with the activity coordinator.
Executive Assistance
- Assisting with human resources including recruitment, and other HR matters such as the appraisal process as necessary.
- Diarising regular meetings in respect of all the Creative Director’s line reports, group meetings and external meetings.
- Briefing the Creative Director on meetings and events and supporting them in their outward facing role as necessary.
- Managing speaking opportunities, including scheduling days/ times, costs and invoicing.
- Working out which incoming communication is needed to be shared with the Creative Director, including responding on their behalf when appropriate.
- Drafting reports/ supporting preparation of reports as requested by the Creative Director.
- Working closely with the management team to provide administrative support where required with recruitment, induction, people development, and performance monitoring.
As we are a new charity we expect some aspects of the role to change and develop over time.

PERSON SPECIFICATION
First and foremost we are looking for a person who is open to learning and challenging themselves while supporting young people in the Spectrum Gaming way. Our views and approach in supporting autistic young people are different to the norm, where autism is seen through the medical model and as something negative. Therefore, the ideal candidate will be highly motivated, passionate and enthusiastic about supporting SG’s activities.
Essential:
- Administration experience that includes creating spreadsheets, email communications and recording data;
- Ability to manage multiple tasks at the same time and to prioritise;
- Ability to communicate verbally and in writing and to maintain high quality documentation;
- A high degree of familiarity with computer-based record keeping and communication;
- An eye for detail when collecting or reviewing data;
- Ability to give constructive feedback to others;
- Ability and willingness to work in a small team with a relatively flat management structure and a high level of delegated responsibility and accountability;
- Ability and willingness to work with a high degree of autonomy and to manage your own workload effectively;
- Ability and willingness to engage with a wide variety of stakeholders in order to better understand and meet their needs;
- Willingness to commit to a culture of continuous learning.
- Proven experience of using initiative and working alone, as well as working constructively and collaboratively with a wide range of colleagues from different teams including senior managers.
Desirable
- Ability to design, communicate and deliver effective solutions in response to organisational goals, and support others to embed change.
- A proactive approach to using evidence and data to establish the root cause of challenges, and to developing and implementing appropriate solutions.
