We are looking for a Team Administrator to join our Headquarters in Sunderland to provide high quality, comprehensive support and administration to the Corporate Affairs function in addition to providing some 1-2-1 support to the functions Senior Managers.
The Corporate Affairs function compromises of Health and Safety, Human Resources, Talent and Reward and Communication and Engagement. This role offers a wealth of variety and autonomy.
Duties of the role include but are not limited to:
Arrange and coordinate team meetings and events for the Corporate Affairs function, including preparing agendas and venues.- Diary management across the function.
- Expenses management
- Overseas travel management
- Coordinate the Corporate Affairs recognition scheme.
- Maintain the functions Yammer, SharePoint and Intranet pages.
- Maintain group wide distribution lists, ensuring accuracy based on starters, leavers and movers.
- Ensure accuracy of structure charts
- Daily management of the Group Communications Mailbox
- Support and coordinate the Employee Engagement Forum
- Support with the functions procurement process, using our online system Oracle to onboard new suppliers, raise purchase requisitions and receipt goods and services.
- Support with PLC engagement activity such as celebration days and onsite 'town halls'.
- Administer starters, leavers, and renewals for Private Medical Insurance, including health screening where applicable.
- Manage the on-call roster within the Communications and Engagement Team.
- Monthly monitoring of input to Arriva DataHub for Corporate Key Performance Indicators.
- Taking minutes for meetings within the function where required.
The role will require you to work such hours as necessary to perform the duties of the role.
- You can demonstrate previous experience in a similar administrative role, in a demanding and fast paced environment.
- Previous experience of providing support to senior leaders is essential, as well as developing and maintaining relationships across a variety of stakeholders.
- You are positive and driven with a can-do attitude.
- You have strong planning and organisation skills, particularly in diary and travel management.
- You are confident and proficient in the use of all Office 365 systems (financial systems experience would be desirable).
- You are able to manage sensitive personal and organisational data with discretion.
