We are looking for a Project Administrator to support day to day operations of the Systems team. This is a hybrid working role; office and home.

We are currently implementing multiple systems and process changes across our business. Reporting to the Systems Project Manager this role is responsible for liaising with our internal and offshore staff, regarding day-to-day project administrative tasks and project support. There will also be an element of system support incorporated into the role for departmental cover also. A high level of verbal and written communication skills are essential for this role as is a positive and pro-active approach to your work.

We are seeking a fast learner with the ability to be shown a task, own the task and run with it from start through to completion; confidently, efficiently, and accurately.

What you’ll be doing as our Systems Project Administrator:

  • Coordinating and administering meetings and providing diary support as needed
  • Assist in the application and maintenance of project controls including risk and issue management, change requests, decision and action log maintenance.
  • Prepare and provide documentation to internal teams and key stakeholders such as meeting packs or update reports
  • Managing daily administrative functions of a project or program
  • Liaising with other professionals and external parties
  • Assists Systems Manager with day-to-day support of the project or site
  • Maintains knowledge of project status, scheduling requirements, and departmental operations/procedures
  • Ensures reports and documents follow company and project standards and quality
  • Acting as a backup for the Junior Business Analyst with respect to day-to-day maintenance
  • Maintaining project budget trackers
  • Ability to handle small multiple projects at any given time.

What we’re looking for in our Systems Project Administrator:

  • Experience supporting software or finance project team previously required
  • You'll be able to establish priorities and meet deadlines whilst preserving the high level of accuracy and confidentiality needed
  • You'll have good interpersonal, oral and written skills and ability to relate to a wide variety of people
  • You will have exceptional organisational and planning ability
  • You will have a strong attention to detail and a right first-time approach
  • The ability to work unsupervised and as part of a team is a given.
  • Sometimes resilience is needed - perseverance whilst understanding other viewpoints and priorities is essential
  • Work experience as a Project Administrator, Project Coordinator or similar role
  • A high degree of computer literacy including advanced knowledge of the MS Office Suite - especially MS Teams, Excel and Word
