POSITION SUMMARY

Reporting to the Head of Supply Chain, the Supply Chain Coordinator will be responsible for overall purchase order process; from PO placement, Freight In/Out, Customs Clearance, Inventory Control, and report maintenance. The role will work closely with the customer services team and liaise directly with them to provide customers with regular updates regarding orders and stock.

RESPONSIBILITIES

INTERNATIONAL ORDER AND SHIPMENT MANAGEMENT

  • Management of cross-border orders and communication with customers regarding PO status and shipment updates
  • Management of customs documentation facilitating smooth shipment clearance and delivery
  • Management of PO statuses and ETD/ETAs
  • Maintenance of all SO and PO transaction records in SAP
  • Monitor stock levels at the factory to ensure no stock left-over for international customers
  • Coordinate logistics solutions for your territories which include UK/EU/Americas
  • Obtaining quotes and provide logistic guidance to the sales team for ad-hoc cross-trade shipments
  • Maintenance of key reports and dashboards which are communicated to the wider business

CUSTOMER SUCCESS (SUPPORTING ROLE)

  • Provide excellent customer service to international customers to support VANITY GROUP’s international growth
  • Working closely with the sales team, exceed the customer success of all hotel clients in your regions
  • Customer order entries, integration with 3PL providers
  • Management of all 3PL relationships, reporting and facilitating monthly meetings with external contractors
  • Responsible for handling all customer calls and email inquiries within agreed SLAs
  • Responsible for placing all customer orders to the 3PL warehouse through SAP and CSV files
  • Responsible for managing returns process with clients and 3PL warehouse
  • Providing quality and professional track and trace services to clients
  • Resolving service issues, complaints, and claims within agreed SLAs
  • Work closely with freight forwards, 3PL warehouse, and transport to follow client orders from end to end – providing regular updates to client and internal stakeholders on order status

INVENTORY MANAGEMENT (SUPPORTING ROLE)

  • Stock adjustment, Reconciliation, Samples requests, GRPO, and Goods Return execution
  • Stock movement monitoring in and out of all warehouses to ensure inventory accuracy
  • Stock adjustment aligning physical stock level and SAP
  • Monthly stock reconciliation with 3PL warehouses
  • Annual stock take
  • Expiring stock list maintenance
  • Coordination of disposal of unwanted stock in a compliant method

STAKEHOLDER MANAGEMENT

  • Maintain a high level of professionalism and motivational spirit with stakeholders at all times
  • Working and collaborating with cross-functional teams to achieve outcomes and meet deadlines
  • Manage upwards, articulating delays/roadblocks with a solution-focused approach
  • Proactive approach and willing to lean into challenges whilst keeping key stakeholder up to speed

ABOUT YOU

  • Minimum 1 year experience in customer service based role
  • Minimum 3 years’ experience in a Cross Border Supply Chain role
  • Previous experience in a logistics/wholesale environment
  • Previous experience managing relationships with freight forwarders and vendors
  • Working knowledge of SAP (or other ERP systems)
  • Accurate data entry skills
  • Able to prioritize and manage multiple deadlines simultaneously
  • Intermediate Excel skills
