Employment: Full-time, permanent

Reports to: Head of Residential Operations (UK)

Salary: £27,000 per annum (plus discretionary performance-related bonus)

Location: London (with flexible working from home policy)

About the opportunity

We are looking for an Operations Assistant to join the operations department within Immerse Education - a leading provider of educational experiences to students across the world, comprising residential summer schools and online short courses.

The post-holder will be assisting in operational delivery for all the residential summer schools as well as recruitment where needed.

Your success will be measured by meeting set project deadlines, and ensuring that programmes operate smoothly during the summer period. You will need to be quick on your feet and be able to find solutions for any last-minute changes and/or emergency situations in a calm and efficient manner.

The primary area of responsibility for the Operations Assistant during the summer will be looking after group and private airport transfers that take place each weekend during the summer school operation period. The Operations Assistant will be the first point of call for participants in case of any last-minute changes to departure or arrival details, border control, as well as the coach and taxi drivers.

Before the summer, the postholder will be assisting with organising last-minute operational activities and supporting the recruitment team with administering seasonal staff paperwork.

We are looking for an ambitious and motivated individual who is willing to be an integral part of operational delivery and prepared for hard work. Please note that due to the nature of the role, the busiest operational period for the Operations Assistant will be during July and August - which will include regular weekend work with days off on weekdays in lieu.

About the role

● Assisting in the operational and recruitment delivery of residential courses

● Arranging and coordinating the group and private airport transfer schedule each weekend over the summer period

● Supporting the Summer School Area Managers and Recruitment Coordinator before and during the operational period

● Calling suppliers and seasonal staff to request paperwork submission

● Assisting with enquiries from student services and the sales team when required

● Supporting with operational delivery in other areas as reasonably requested

● Attending summer school staff training days and helping with school set-up

● Organising summer school inventory delivery and collection

● Being on-call throughout the summer period

● Being on emergency call during the summer on a rotational basis

About you

● At least 1+ years experience in an academic or operational role

● Experience Google Sheets/Excel

● Excellent analytical, organisational and time-management skills

● Advantageous: Knowledge of Oxford, Cambridge and London

● Advantageous: Understanding of the collegiate system at Oxford and Cambridge University

● Advantageous: experience working in an operational/academic/programme management role

● Advantageous: experience with marketing automation tools and CRM system
