- Contacting potential host organisations and discussing the benefits of the schemes, knowledgably answering their questions and providing them with necessary information.
- Compiling and delivering an engaging weekly Internship email alert for the student audience, creating original content including relevant images. Producing content for regular social media posts and emails to promote Internship Office programmes to students in colleges, departments, faculties and student organisations.
- Answering straightforward queries on internship issues, interpreting policies and implementing procedures as appropriate.
- Researching appropriate internship opportunities for undergraduate and postgraduate
- Assisting students utilising existing resources such as the Oxford Careers Network, alumni groups and other University institutes, organisations and faculties.
- Assisting with the organisation of internship information sessions and workshops, including managing student bookings and confirming with presenters.
- Answering students’ and recruiter queries (by phone, email and in person), including queries relating to funding (sometimes with assistance from colleagues), host queries regarding internship best practice, and those which need a response in a timely manner.
- Drawing on knowledge of what makes a good quality internship description, review and assess the standard of the internships offered. Communicate and negotiate with employers to improve the quality of internship descriptions
- Maintaining contact databases of employers.
- Writing visa support material for student undertaking internship overseas.
- Maintaining close records of progress and providing input and analysis for regular reports.
- Providing administrative and clerical support to the Internship Office as needed. Where necessary, checking and making amendments to the Internship Office finance spreadsheet, in communication with the Careers Service Finance Officer.
- Contributing to the organisation of careers events and workshops, by working closely with other colleagues to assist with the preparation and distribution of materials, for talks, presentations and fairs.
- Attending relevant recruitment and other events (usually in Oxford, very occasionally on Saturdays, for which time off in lieu will be given).
- Acting as the first point of contact for the Internship Office when colleagues are out of the office.
- Proven Administrative experience within a higher Educational setting
- Excellent skills in office IT systems, including Word/Excel, email, the internet, content management systems (for our web site)
