Job Title: Studio Assistant
Location: Must be based within commutable distance to London
Reports To: Head of Talent
The Studio Assistant reports to the HoT and provides administrative support to the Management team and London Studios. They take responsibility for general Studio Assistance. The candidate will show strong organisational skills with accuracy and attention to detail, excellent interpersonal skills and a positive, collaborative attitude led by initiative and proactivity. This role is 80% office/on-site based.
Job Duties
40% Office Assistance
- Manage incoming phone calls, disseminate correspondence and welcome Studio guests.
- Maintain and manage the office DVD library.
- Maintain the high standards and cleanliness of TTFL sites and replenish supplies (Foley, PTH, etc.).
- Coordinate with the building manager and/or landlord and outsource suppliers and vendors for the office upkeep, equipment, repairs and maintenance.
- Ensure compliance with health and safety, fire and first aid regulations.
30% Production Assistance
- Organise business travel arrangements including flights, transportation and accommodation.
- IMDB Credit Input, following the process of Credit Procedure in line with HoP and HoT.
- Managing Demo/Showreel requests from ex and current employees.
- Prepare agendas, perform research, minutes and note-taking in the meetings.
- Casting Assistance with Holiday and Absence management and coverage of Casting Manager
- General production administration duties as required.
30% Management Team Assistance
- Coordinate internal and external social events in collaboration with Party Planning Committee.
- Liaise with other staff members on behalf of senior management.
- Ad-hoc administrative, Management, Production or IT or Production duties as required.
- Ad-hoc transporting of assets between offices and studio locations.
Essential Skills
- Excellent communication skills both verbal and written, to build a strong working relationship with other departments.
- Experience as a Runner or Office Administrator
- Ability to organise, prioritise and follow through in a multi-tasking environment.?
- Proficient in GSuite, Calendar Management, Google Sites
- Reliable and responsible with a calm and professional manner
- Experience within the Media / Production / VFX industries is desirable
