Job description

We’re on the lookout for a keen and passionate Studio Assistant who is looking to build their position in creative management and administrative operations.

This is a great position for a passionate graduate with administrative experience and interest in a career in creative studio management. They must have a willingness to tackle any challenge and to get involved with the everyday life and tasks of the studio.

Specific duties and daily responsibilities may vary from working directly to support the day-to-day tasks of the Directors, internal budgeting and events, and overall studio administration in a fast-paced production environment. We’re looking for someone who shares our passion for building a community within the team, and works with an organized, methodical, and friendly attitude that could progress through the company into a managerial role.

INK is a future-focused digital studio based in London specializing in CGI, Design and Animation. We launch big ideas across digital platforms for technology and luxury brands around the world and are passionate about bringing clarity to the complex. This is an onsite role only, based full-time in our studio near Kings Cross.

Role:

  • Reception duties, including answering incoming calls, accepting deliveries, scheduling in-person and remote appointments and welcoming visitors and clients to the studio and preparing the meeting room with refreshments .
  • Following up on phone calls and contacts as appropriate.
  • Answers general emails, postal correspondence, and enquiries with customers and suppliers.
  • Day-to-day booking for meeting rooms.
  • Create and manage Internal Studio Budgets including the ordering of office supplies and sundries
  • Monitor and Review Supplier Contracts and Maintenance Renewals (coordinating any premises repairs and maintenance, liaising with landlord, managing security, cleaning contracts and health and safety suppliers).
  • Managing health and safety, as well as fire regulations within the office including monitoring compliance with First Aid (Staff Training, Stock Take and Replenish First Aid Kit).
  • Negotiating and managing studio insurance and external contracts.
  • Assisting with administrative tasks on shoots.
  • Monitoring training material and ensuring it’s up to date and aligns with the company values and direction.
  • Management of all Studio Travel including Overseas Accommodation and Travel Insurance.
  • Organizing and auditing the company's internal systems, databases, and procedures.
  • Preparing weekly and monthly reports for the directors and producing team.
  • Organise bi-monthly staff socials and events.
  • Assist with daily management of staff requests (such as coordinating IT support, arranging licenses etc)
  • Assist with the recruitment and onboarding process of new employees (including the set-up of interviews, ordering equipment .

Requirements

Essential Skills:


  • Proactive and comfortable to multitask as daily routine will be varied.
  • Fun, energetic presence within the studio.
  • Able to build great relationships at all levels across the studio both internally and externally.
  • Hard working and efficient.
  • Able to appreciate accuracy and pay close attention to detail.
  • Hardworking and ambitious
  • Able to deliver on schedule, work calmly and efficiently under pressure.
  • Solid numeracy skills and comfortable with mental arithmetic.
  • Flexible and keen to support all team members when the situation arises.
  • Highly computer literate - proficiency or experience in Google Drive and In-Design (preferable).


Salary: £23,000 p/a
