Vacancy Overview
Full-time, permanent position. 36.5 hours per week.
The work of the Student Administrative Services provides essential support to a diverse community of students and staff, thereby enabling the work of the University. Student Records Management is a small team with responsibility for the accuracy and timeliness of records for nearly 30,000 students.
The successful candidate will need to deliver excellent customer service to students and staff. They will possess a high degree of flexibility, perseverance and a willingness to adapt to the changing demands of an increasingly varied student journey. The successful candidate will need to be prepared to constantly learn University policies and procedures and possess an ability to manage ambiguity in applying those polices and procedures for complex circumstances.
The role requires the use of a bespoke student information system, so the candidate will need to be comfortable using IT and learning new systems quickly.

Job Description
Students’ records are essential to enable crucial aspects of the work of the University and to ensure a quality student experience. The job holders achieve this by:
- maintaining accurate student records within the University’s student records system (SITS) and external agency databases
- giving advice and guidance to departments and students on all matters connected to students’ records
- working together with staff throughout the University to deliver a consistent, effective and efficient service.
DUTIES AND RESPONSIBILITIES
- Maintain accurate and up to date records on the University’s student record system, working to identified deadlines and in accordance with defined processes and procedures. This may involve using other University databases for certain processes.
- Answer queries and provide advice/guidance to internal and external customers, by email, telephone and occasionally in person. Queries can be broad ranging and may require redirection to other departments for resolution.
- Update external agencies, in accordance with defined processes and procedures and within agreed timescales. Ensure any external requirements are met.
- Ensure accuracy of data for which the team have responsibility. This will involve identifying errors, making enquiries with students and departmental staff as to the information provided and making corrections.
- Contribute to ensuring that defined processes and procedures remain relevant, up to date and accurate.
- Engage in University events e.g degree congregations.
Person Specification
The Person Specification focuses on the knowledge, skills, experience and qualifications required to undertake the role effectively. This is measured by (a) Application Form, (b) Test/Exercise, (c) Interview, (d) Presentation.
Essential Criteria 1
GCSE passes (grade C/4 or above) in Mathematics and English, or equivalent. (a)

Demonstrable IT experience including word-processing, spreadsheets, databases and email, together with a willingness to learn new IT systems as required. (a,b,c)
