The position of Student Life Administrator is a full-time, permanent post, reporting to the Student Life Coordinator. The post holder will make a significant contribution to the work of the Student Affairs Office team, across a diverse range of areas, and will be supporting students throughout the year on various programmes from pre-arrival through to departure. The Student Life Administrator will help to administer programming that promotes student engagement and well-being; a major aspect of which will be the creation and maintenance of communication channels with students to encourage student engagement.

The Student Affairs Office team provides multiple opportunities for students to engage with the culture of the United Kingdom during their time away, to help them to develop more knowledge about (and direct experience of) the distinctive local culture in which they have chosen to live for a relatively brief period of time, and to complement the site’s academic curriculum. The Student Life Administrator will assist in the delivery of a Cultural Activities programme on campus. The Student Life Administrator will also work with a number of key student groups across campus (e.g. Freshman Student Council) to help engender a spirit of community and encourage participation in student-led programming.

The Student Life Administrator will also work directly with the Student Life Coordinator to provide a wide range of services in the areas of departmental communications through lively use of social media and other communication channels to promote student engagement and connectivity with departmental initiatives.

The role will have accountability for distinctive projects, as well as a large number of day to day administrative responsibilities which are shared among all staff in the Student Affairs Office.

There will be on-call duties involved in the role, on a rota system with other staff, and regular evening & weekend work is required. This position requires a positive service orientation while performing all duties.

10%: Share responsibility as part of the Student Affairs team for providing NYU London students with support should any medical, mental health, student misconduct, policy violations, facilities concerns and/or other serious issues arise.
  • Be on call on a rotational basis to support students who get in touch with the NYU London Staff On Call Duty Phone or via email about challenges they are facing.
  • Seek advice from departmental leaders in assessing the nature of problems, ensure any urgent actions which are required are taken, and that students are supported with regular outreach until any pending resolutions can be concluded.
  • Connect students to counsellors and other NYU staff.
  • Write incident reports.
45%: Student Support and Advisement - Delivery of information, support and activities to students, including (but not limited to):
  • Dealing with enquiries in the Student Affairs Office
  • Assisting the recruitment, training and management of Student Workers, in particular the Student Affairs Volunteering Assistant
  • Assisting with the planning, delivery and promotion of a variety of student workshops and events, including day trips and themed weeks
  • Regularly attending student meetings to ensure they have the support and resources they need
  • Administering NYU ID card and Oystercard creation processes
  • Supporting the general activities of the Student Affairs department (e.g. orientation, housing check-in and check-out, updating databases)
  • Providing tours of the Academic Centre to NYU visitors and external partners, including prospective students and staff
  • Advising students on Schengen Visas
  • Collaboration with Residence Life team on various student-related tasks
  • Awareness of Academic Affairs queries and issues
  • Supporting the planning, development and implementation of intersession programmes
  • Making room bookings for students and staff
  • Managing personal workload using project management tools (e.g. Trello) for short, medium and long term tasks and projects
15%: Departmental Communication & Social Media - Including (but not limited to):
  • Ensure effective, accessible and inclusive communication to students on all matters related to Student Affairs.
  • Administer all of the communication needs of the Student Life team, including the promotion of upcoming Student Affairs events.
  • Collaborate with members of the Academic Affairs and Student Affairs teams to produce new communications, including website content, social media posts, newsletters and other information resources, that are accessible, meaningful, and relevant to all target audiences.
  • Administer all pre-departure communications to new students, including the compilation of Letters from London series ahead of each semester.
  • Assist in the creation of resources covering health and safety-related information and general travel advisories.
  • Work with students to collect feedback on the effectiveness of NYU London communication.
  • Contributing to the regular reviewing, updating and refreshing of Student Life content on the NYUL website and LDN, NYU London’s intranet site for students.
  • Edit the weekly student newsletter.
  • Project manage and update NYU London’s social media output.
  • Attend student events and Cultural Programming to collect content for social media and other NYU promotional purposes.
    Recruit students to generate social media content and organise social media takeovers.
15%: Student Event Planning: Cultural Programming and Volunteering: In consort with other team members, provide administration for NYUL’s Cultural Programme and Volunteering. The Student Life Administrator should be aware of cultural and volunteering activities across the United Kingdom and feel comfortable (& confident) leading groups of students to a variety of cultural and volunteering events and destinations across London and the UK. This will include chaperoning students on events and gathering feedback following events.

The SLA would be expected (once fully-trained) to provide information to the group that helps them to understand the cultural significance of the site they are visiting, whether this be through an explanation of the site’s history, its art, or any other element which makes the visit culturally distinct. It will be essential to note how different identities experience cultural and other programming activities, to support/facilitate how students navigate these experiences and create space for conversations.

This role will also involve liaising with external providers and student groups to arrange opportunities and events each semester, including (but not limited to):
  • Organizing, promoting and leading Cultural Programming events, both ongoing and one-off.
  • Chaperone students on Cultural Programming and Volunteering events
  • Negotiate best-rates with suppliers and make bookings for tickets to Cultural Programming events.
  • Develop promotional materials: Write, maintain and update information and promotional copy describing Programming activities to the student body.
  • Organize the event sign up process. Design and administer sign up surveys and collect student preferences.
  • Maintain and update a student sign up database and monitor attendance for Cultural Programming events.
  • Keep a regular log of all expenses from Cultural Programming events.
  • Assist in gathering feedback on programming events.
10%: Student Groups
The Student Life Administrator will work with a number of key student groups across campus (e.g. Freshman Student Council, Global Ambassadors etc.) to engage with students, encourage participation in student-led programming and engender a campus spirit within our community across NYU London.

The Student Life Administrator will also lead in liaison with other student groups and organisations across London (e.g. the University of London Student Union) and help to promote opportunities for NYUL students to have meaningfully interaction with local University students. This includes working with providers to administrate any required memberships.

5%: Health & Wellbeing:
Supporting students in finding appropriate health and wellbeing resources, including (but not limited to):
  • Booking doctor’s appointments for students
  • Helping students to navigate their private health insurance (GeoBlue) and obtain Guarantee of Payment letters.
  • Accompanying students to hospital and doctor’s appointments when required.
Qualifications:
Required Education
  • Educated to degree level, or an equivalent qualification, or relevant working experience.
Required Experience

  • Willingness to travel throughout the UK. This includes the ability to work “outside of office hours” either at night or at weekends.
  • Genuine interest in the development of young people.
  • Awareness of and ability to maintain, appropriate staff/student boundaries.
  • Punctual, responsible, self-motivated & flexible.

Preferred Experience, Skills and Abilities
  • Knowledgeable about the culture of the UK and capable of interpreting this in a way that excites, motivates and teaches visiting students.
  • Passionate about London and capable of sharing this passion with others.
  • Ability to lead student groups on cultural visits, ideally with ability to convey interesting and relevant information on the history, artistic traditions and cultural heritage of the sites visited
  • International travel, work and/or study abroad experience.
  • Knowledge of the American higher education system.
  • Understanding of the needs and expectations of international students.
  • Be willing to work on own initiative with little supervision.
