Store Administrator London, England
Job description
Looking for someone with previous administration experience to provide general administrative support for our new opening in Camden, as requested during the day: calling people, printing paper work, copying, scanning, filling, drafting letters, posting letters, taking messages or documents and passing them accordingly to relevant person, sending emails as per the requirements & other Ad-hoc tasks as per the request.
Responsibilities:
- Weekly Submission of time sheet for Team Members, Supervisor and Managers through Time sheets
- Payroll Queries Submission, Payroll Queries replies, Pay on hold emails,
- New starter paperwork & compliance
- Leaver’s final pape
- Maintain Holiday tracker
- Maintain and send Absent tracker and Weekly Attendance tracker to Head Office every Monday
- Managing electronic files in the store
- Maintaining most updated staff list i.e Emails address, contact details and sending to scheduling managers as per the PAF changes(Contracted Hours changes)
- Pre-screening CVs for arranging interviews & preparing their paperwork and emailing candidates regarding their Interview schedule
- Preparing next week’s SBD (Staff Break down) Sheet for labour forecast
- Checking the SBD for current week against Floor Plan & Micros on daily basis to ensure inputted data is correct for Payroll submission.
- Creating Floor plan for next week as per the received Schedules
- Amending changes in Schedule, FP & SBD as per the changes by scheduling manager or GM.
- Taking fingerprint for new employees on Micros (clocking in and out system) and managing employees on system.
- Sorting Daily post and handling to appropriate person
- Helping cash office for counting Safe in morning as and when needed
- Setting up calendar reminders for new employee’s Probation assessments to managers.
- Participating in disciplinary meeting for taking notes, communicate with HR and complete the necessary paperwork
- Sending the finalise schedule out to the staff using admin email
- Maintain the Covent Garden & Admin email and forwarding the relevant emails to management and taking action accordingly
- Memo display or any announcement display. Updating and maintaining the staff matrix
- Setting the probation review dates, Sending the email/letter to the crew regarding their probation review date
- Placing Stationary order once a month as per the requirement
- Helping management on Shack floor during busy periods
Requirements:
- Proficient level of English, spoken and written.
- Proficient user of Microsoft program
- Friendly personality
- Self-motivated team player, also able to work independently and proactively
- High level of attention to detail and accuracy in work delivered
- Able to work at a fast pace and flexible with hours in peak periods of work
